      The Catering & Conference Coordinator is responsible for support of the Convention Services and Catering team in all aspects necessary to provide excellent customer service to customers and clients on behalf of the department organization. Everyone works in Security – If you See Something, it is your responsibility to Say Something. You must notify the appropriate department or individual if you feel there is a security concern. Everyone works in EVS – If there is trash on the floor, it is your responsibility to pick it up. If it is a mess that needs more attention, it is your responsibility to notify the appropriate department or individual. Everyone works in Guest Experience – If a guest needs assistance, it is your responsibility to assist that guest and do so with a smile. If the guest needs more assistance than you can provide, it is your responsibility to notify the appropriate department or individual. Primary Job Duties – Includes, but is not limited to: Support the Convention Services and Catering with all daily tasks to assist with the departmental goals and objectives. Develop and maintain all filing systems within the department. Distribute Banquet Event orders (BEO's) and Group Resumes in a timely and efficient manner. Ensure that all information is correctly loaded in Delphi. Maintain complete knowledge of hotel services, features, hours of operation and daily events. Run daily, weekly and monthly reports as needed. Assist Catering and CS Managers in all activities, including, but not limited to; BEO creation, group resume creation, client services, amenity forms, estimated charges, room inspections and reservations, restaurant and spa reservations, merging of documents, etc. Process all changes to BEO's and complete BEO change log as needed. Provide general information: address guests' questions regarding hotel services and policies. Answer the telephone and direct calls/messages to appropriate personnel or guests. Assist managers in calling clients for their function guarantees and event specifications. Attend designated meetings, take minutes, transcribe and distribute. Answer telephone and email inquiries. Continually audit and review office management and administration systems, implementing improvements where necessary. Ensure and maintain security and confidentiality of information relating to guest/employee data held within the hotel. Willing and able to learn new skills and tasks quickly. Use personal device/cellular phone for job related operational tasks, job duties, review of company documents, etc. Ensure that required licensing is maintained & updated. Other duties as assigned. Required: At least one year of experience in Hotel Sales, Catering and Convention Services or Hotel Operations. Working knowledge of Microsoft Applications. Ability to work varied shifts, including nights, weekends and holidays. Ability to effectively communicate in English. Polished appearance and demeanor. Excellent customer service skills. Ability to obtain and maintain full knowledge and understanding of company and department rules and regulations, policies and procedures. At least 18 years of age. Preferred: Previous experience in a large, luxury resort setting.
