      Position Highlights

      The College of Medicine-Tucson Communication's Office within Medicine Administration is seeking a Coordinator of Conference and Events. This role supports the engagement, communications, and development goals of the College. The position will report to the Manager of Special Projects.

      As a part of the Brand Communications Team within the Dean's Office, the incumbent will work to communicate the college's mission through meetings, events, and engagements for internal and external audiences. The successful candidate will participate in the planning and coordination of duties leading up to, during, and following events hosted by the College/Dean's Office.

      Duties & Responsibilities
      • Manage and execute the logistics and agreements for each event, including but not limited to: catering and beverage, facilities, custodial, rentals, décor, entertainment, permits, A/V, and photography services.
      • Attend all events to facilitate and manage successful operations, serving as the point-person for impromptu troubleshooting during the event.
      • Assist the Brand Communications Team in developing new projects and events that align with the College's strategic goals.
      • Serve as the point of contact for the Social Hall, the venue the Dean's Office rents out to departments and units in the College, managing calendar bookings, ordering custodial services, and invoicing renting departments.
      • Work closely with Brand Communications and Alumni Engagement colleagues to design event advertising, draft scripts and talking points, and create event programs and invitations.
      • Develop and implement event strategies that align with the College's mission and goals. Collect and analyze feedback from event participants to continuously improve event quality and effectiveness. Create post-event reports to summarize successes, challenges, and areas for improvement.

      Knowledge, Skills, and Abilities:

      • Proficiency in utilizing Microsoft Office Suite programs/applications such as Word, Excel, and PowerPoint.
      • Creativity and innovation in event planning and execution.
      Minimum Qualifications
      • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
      • Minimum of three (3) years of relevant work experience, or equivalent combination of education and work experience.
      Preferred Qualifications
      • Experience in managing multiple events simultaneously, demonstrating strong organizational skills.
