      The Office of Financial Service (OFS) is dedicated to supporting the mission of Brookings by ensuring and enhancing its financial health and promoting financial efficiency and innovation. We accomplish this by safeguarding the institution’s assets, stewarding donor contributions and providing quality and client-driven service characterized by professionalism, integrity, reliability, transparency, accountability, expertise, and above all else – respectfulness and fairness. OFS is comprised of Accounting, Financial Planning and Management, Financial Operations and Investments.

      The Investment Office is responsible for managing the long-term financial assets (i.e. the endowment) that supports approximately 20% of Brookings’ annual operating budget. In addition to setting and implementing the investment strategy in conjunction with the Investment Committee of the Board, the Investment Office team researches and selects external asset management firms, handles internal portfolio operations, and works with Brookings’ other business units to establish and maintain strong financial and legal practices, and to comply with regulations.

      Position Location: This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC office with the option of at least two days of remote work each week.

      Vaccine Policy: Brookings requires all staff to submit proof of complete vaccination against COVID-19 to be in Brookings buildings.

      Responsibilities

      Brookings is seeking an enthusiastic and detail-oriented Investment Coordinator to join our four-person team. In this pivotal role, you'll be at the heart of our long-term investment portfolio management, supporting the Chief Investment Officer (CIO) and helping to ensuring the efficient operation of our team. From maintaining and enhancing document libraries to providing vital administrative support, you'll be the go-to person for your colleagues. Your contributions will be instrumental in our mission to create a better future through intellectual independence, rigorous research, and innovative thinking.       Information and Reporting Coordination (70%)

      • Serve as the caretaker of our Investment Office document libraries by keeping them current and organized.

      • Receive and file weekly, monthly, quarterly, and annual reports from our existing money managers and master the Power Automate tools that streamline this process.

      • Handle reports from prospective money managers with precision, ensuring our shared email box stays clutter-free.

      • Assist fellow Investment Office members in locating reports promptly.

      • Streamline the general research, Investment Committee materials and portfolio oversight records to optimally reflect and accommodate new analytical and reporting needs.

      • Declutter draft files and old documents regularly, maintaining a lean and efficient storage system.

      • Help us innovate and improve our systems and processes--propose and implement system enhancements and filing structures to simplify information storage and retrieval.

      • Work collaboratively across teams and extend a helping hand to colleagues in the Controller’s and General Counsel’s offices, guiding them to the information they require.

      • Help make new investments happen by supporting Investment Office colleagues in assembling and submitting investment subscription documents quickly and accurately.

      • Efficiently attend to existing managers' requests for regulatory confirmations and authorized contact lists.

      • Maintain on-going communications with the Controller’s office about cash flows and other changes expected in the investment portfolio, and also working with them to easily complete the annual audit.

      • Maintain the Investment Committee area within Brookings' board portal, ensuring that Trustees have seamless access to meeting materials.

      CIO and Department Administrative Support (30%)

      • Ensure everything runs smoothly by anticipating the needs of the CIO and team members.

      • Schedule department meetings and assist with individual meeting logistics, both online and in person.

      • Assist with travel planning and expense report submissions.

      • Support the CIO in managing the email systems by working with others on the team to help ensure appropriate communications with external parties of many different types.

      • Play a pivotal role in department recruiting and staff onboarding efforts.

      • Keep our office fully stocked and ready for action by ordering essential supplies.

      • Track departmental expenses, process invoices, and verify procurement card charges accurately.

      • Tackle additional projects and duties as assigned adding to our team's success.

      Education/Experience Requirements:

      Bachelor's degree and a minimum of three years of relevant work experience, which may have been obtain through part-time work, internships, or relevant academic coursework. Must be authorized to work for any employer in the U.S.

      Knowledge/Skills Requirements:

      Demonstrated passion for developing and maintaining efficient work processes combined with a fascination with organizing and leveraging technology. Keen attention to detail and an innate ability to identify opportunities and propose solutions. Outstanding organizational skills. Excellent communication skills to include written, verbal, and interpersonal interactions. A team player with the ability to thrive both independently and collaboratively. Proven reliability, responsiveness, initiative, poise, and mature judgment in completing tasks with minimal supervision. Exceptional time management abilities, including setting priorities, meeting deadlines, multitasking, and handling competing demands. Discretion and competence in handling sensitive and confidential information. Diplomatic and professional interpersonal skills, with the capacity to interact effectively with Brookings' trustees, executive leaders, and their assistants. Proficiency in Microsoft Outlook, Word, and Excel is required; familiarity with Microsoft 365, SharePoint, Power Automate, or similar tools is a plus. Comfort and enthusiasm for learning and implementing new software and tools. Interest in business information systems preferred. Broad and curious mindset required--an affinity for the liberal arts and sciences is preferred.
