      Shift: Monday-Friday, Daylight hours. This position is hybrid, it will be a mix of working from home and working on site at either Butler Hospital, in Butler, Pennsylvania or Westmoreland Hospital, in Greensburg, Pennsylvania, depending upon applicants availability. * Days and hours are subject to change.

      Job Summary/Overall Objectives

      Payroll Coordinator is responsible for preparing and coordinating all aspects of payroll. Must work collaboratively with fellow team members, employees, leadership and human resources. Position requires confidentiality, multitasking, clear communication, strong organization, efficient time management and prioritization of requests.

      Essential Job Functions

      • Manage time and attendance system.
        • Audit reports and time cards to verify all payroll, benefit, and compensation policies are applied correctly and consistently.
        • Audit and test system for accuracy to ensure compliance of policies.
        • Test all upgrades or rule changes thoroughly in the system prior to implementation.
      • Maintain strict confidentiality of all payroll information.
        • Responsible for proper disposal of any confidential information.
        • Ensure all employee information including salary information is kept confidential.
      • Manage payroll system for designated entities.
        • Manage the interfaces from time and attendance into the payroll system.
        • Manage the calculation process of payroll.
        • Follow all balancing procedures to ensure the accuracy of hours paid.
        • Balance payroll verifying all taxes are correct according to federal and state requirements.
        • Verify deductions.
        • Process payroll checks and direct deposits.
        • Process electronic submission of direct deposit information to bank.
        • Follow all established audit controls for payroll processes.
        • Manage processing of all special pay such as PTO sell back, CAP program and recruitment bonuses etc.
      • Prepare all tax related functions pertaining to quarterly and year end filing requirements.
        • Prepare federal and state tax deposits each pay period within required deadlines.
        • Prepare quarterly reports for Federal, state, local, and unemployment, taxes within required deadlines.
        • Prepare year end W2 reporting requirements within required deadlines.
        • Prepare required documents or correspondence for workers compensation, bank loans, domestic relations, wage garnishments, unemployment, etc.
        • Ensure tax changes or updates are implemented within required deadlines.
      • Participates in management decisions to revise human resource policies.
        • Helps to educate employees and managers on revised or new policies that affect employee's pay and/or time and attendance processes.
        • Manages the system changes required for revised or new policies that affect employee's pay.
        • Ensures consistency of applied policy and procedures across the organization.
      • Interact with human resources and information technology to coordinate related payroll information and resolve system needs or deficiencies.
        • Work as an integral team member with human resources on designated projects as it relates to payroll.
        • Work with information technology on issues, system updates, upgrades and testing to ensure accuracy and integrity.
      • Assist all managers and employees with the highest level of customer service.
        • Answer and assist with all payroll related questions to ensure a timely resolution.
        • Maintains positive and patient rapport with all customers and team members.
        • Educate and train new managers or timekeepers in the time and attendance employee verification of time, edits and approval process.
      • Responsible for cross training with payroll team members.
        • Maintains competency to complete payroll functions of other entities as designated to cover as needed.
        • Completes all functions of payroll in the absence of other payroll employee for those designated entities.
      • Maintain knowledge of FLSA, tax law changes and policy changes as it pertains to payroll.
        • Researches and keeps abreast of FLSA law, tax law changes and works with vendors to be compliant within designated deadline of changes.
        • Manages policy changes and audits payroll rules to know where changes need to be made and facilitates the changes required with vendors as it pertains to payroll.
        • Helps to ensure that pay practices meet FLSA laws.
      • Looks for ways to streamline processes to maintain and gain efficiencies.
        • Analyzes current processes and analyzes change in processes to achieve best practices.
        • Incorporates change and supports the team in facilitating change processes in conjunction with the human resources team.
      • Works with human resources as needed on special projects and day to day operations.
      • Other duties as assigned.

      Competency and Experience [Knowledge, Skills and Abilities]

      Required Qualifications/Experience

      • High School Diploma, GED or higher level of education.
      • Two (2) years of experience in payroll related function.
      • Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment, and knowledge of legal aspects and liability of nursing practice.
      • Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.
      • Strong mathematical/analytical ability.
      • Knowledge of basic office equipment such as copier, fax machine, etc.
      • Proficiency in the use of Microsoft Office Suite including Excel, Word, and Outlook.

      Preferred Qualifications/Experience

      • Associate Degree in Accounting or Business Administration.
      • Experience working with UKG and/or API products.
      • Previous related healthcare experience.
      • CPP certification.

      License, Certification & Clearances

      • Act 34-PA Criminal Record Check from the PA State Police system
