      The Coordinator, Production & Photo Studio will work closely with the Creative Producers and the Director, Photography & Video Content to execute creative production from end-to-end that supports the Holt Renfrew brand. Each season, Holt Renfrew produces original photography and video content to support marketing, sales and cultural initiatives via our in-house Creative Services team. Productions include seasonal campaigns, cultural moments, on and off figure photography shoots and video productions. The Coordinator, Production & Photo Studio role will be a key support to these operations. This is a hybrid-working position and will require at least 3 days of weekly in-person work at our Bloor Street West offices in Toronto, ON.

      Specific responsibilities include (but are not limited to) the following:

      Production Coordinator duties:

      • Under the direction of the Producers: Source and/or book freelance crew, equipment, locations and production support;
      • Secure quotes and rates to report back to Production team for review and insertion into budgets;
      • Assist the Producers in building creative decks, call sheets and other materials related to the production;
      • Support contract and deal memo drafting, working with Holt Renfrew contract templates;
      • Securing filming & photography permits and/or location agreements;
      • Assisting producers on set during photography and video shoots where needed;
      • Communicating the daily schedule to crew, and keeping the production running on time;
      • Be an integral part of the shoot wrap process, including managing the safe return of merchandise and production materials to Holt Renfrew from set;
      • Support invoice processing and new vendor set up;
      • Support the Producers during post-production where needed, including managing and enforcing workback schedules, tracking and distributing retouching feedback and distributing final assets to internal stakeholders.

      Photo Studio Co-ordination duties include, but not limited to:

      • Care, organization and upkeep of all studio photo equipment, props and supplies;
      • Managing freelance studio maintenance (cleaners, garbage removal & general maintenance);
      • Placing, tracking and receiving orders from studio vendors;
      • Help maintain and keep Photo Studio’s digital archive and backup system up to date;
      • When required, support the Art Director and Stylist by sourcing and acquiring raw materials for set design and propping;
      • Assist where needed with prop and set creation and/or maintenance, under the direction of the Managing Stylist;
      • Support the creation of weekly shot lists and working with the styling assistants to acquire all needed product in time for photo and video shoots;
      • Act as Healthy and Safety designate, attend monthly meetings and identify and rectify any H&S issues within the physical Photo Studio space.

      The ideal candidate:

      • 2+ years of experience in either Photo or Video production, on set experience is an asset
      • Ability to prioritize multiple tasks, adhere to deadlines, take direction
      • Excellent organizational skills; maintain a balance between administrative duties and time on set, both are key to success in this role.
      • Dedicated team player
      • Knowledge and appreciation of luxury fashion is an asset, but a passion for Creative Production is a must!
      • Proficient in Microsoft Office Suite, including Word, Excel, Power Point and Outlook
      • Working knowledge of the Google Suite, including G Drive, Keynote, Pages and Sheets
      • Knowledge of Microsoft OneDrive and SharePoint is an asset, but not required
      • Knowledge of Monday.com is an asset, but not required
      • Knowledge of Capture One and/or the Adobe Creative Suite is an asset, but not required
      • Graduate of a post-secondary diploma or bachelor’s degree program in a relevant field of study
      • Holds a valid Ontario G2 or G class driver’s license, is preferred (accessibility to get to and from set)
