- Interprets and maintains knowledge of current federal, state and institutional policies, procedures, and regulations pertaining to the Return of Title IV and records management
- Oversees the day-to-day operation of the Return of Title IV program by processing official and unofficial withdrawals; accurately calculates, and maintains compliance with regulations; adjusts aid in the student information system; responsible for student communication
- Manages the intake, filing, maintenance, and disposal of financial aid documents, both physical and electronic
- Serves as the subject matter expert, ensuring policies and procedures are up-to-date and aligned with regulatory requirements. Collaborates with management to analyze and implement changes
- Responsible for managing all incoming documents through various forms such as mail, email, document portal uploads; including reviewing, updating system information, scanning, indexing, retention, and purging
- Responsible for managing the FA Student Record scanning into the Banner Document Management (BDM) system. Completes quality control of financial aid operational processes for campus staff processes
- Updates tracking requirements in Banner on individual student records as documents are received with a high degree of accuracy
- Participates in regular Banner Financial Aid and Banner Document Management (BDM) upgrade testing
- Assists with team responsibilities during peak periods such as suspended Institutional Student Information Records (ISIR) records, Satisfactory Academic Progress (SAP) manual reviews, and course in program of study (CPoS)
- Participates in department financial aid and outreach events
- Develops and delivers training, presentations, analyses, recommendations, and reports to internal and external stakeholders, including auditors
- Performs all other duties and responsibilities as assigned or directed by the supervisor
- Bachelor’s degree and
- One to three years of related experience in Title IV, scholarship, or grant Administration and
- Must be able to meet federal accessibility standards to access and update federal databases; cannot be in loan default or overpayment
- An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above
- Three to five years of related experience in Title IV, scholarship, or grant Administration
- National Association of Student Financial Aid Administrator (NASFAA) credential(s)
- Knowledge of regulatory compliance principles and practices
- Knowledge of business management and fiscal practices
- Knowledge and application of organizational and time management principles
- Skill in analyzing data, creating strategic plan and delivering information to internal and external stakeholders
- Skill in budget/resource management
- Skill in effective communication (both written and oral)
- Skill in independent decision making

Position Summary:
The Coordinator for the Return of Title IV (R2T4) and Records is a member of the Office of Financial Aid and Scholarships and reports to the Manager of Financial Aid Operations and Quality Control. This position requires the use of federally defined professional judgment, decision making autonomy and independent research of federal and state regulations to ensure compliance with administrative capability standards are met. Additionally, this position coordinates eligibility with the other program coordinators in the department.
The Return of Title IV and Records Coordinator is responsible for performing various duties in the coordination of Title IV programs, participates in outreach events, conducts regulatory research, develops policies and procedures, fiscal and budgeting operations, creates/monitors communication with students, and website development.
The Return of Title IV and Records Coordinator uses data and regulatory guidance to properly calculate, disburse, audit, recalculate, and reconcile accounts in accordance with Title IV regulatory timelines and reporting requirements. Reviews comment codes associated with the ISIR to determine student eligibility and tracking requirements assigned to students. Completes annual regulatory training and professional development to keep abreast of federal regulation changes.
The work schedule for this position is flexible and may include working evenings and weekends and local travel.
