      Job Description Summary

      The Social Media and Digital Marketing Coordinator is responsible for maintaining social media channels and executing digital marketing initiatives for UBC Sports Facilities and its related units. This role produces content for and actively maintains Twitter, Facebook, and Instagram platforms working towards awareness and engagement for special events, concerts, rentals, recreation activities, and various sports facilities. Additionally, the coordinator will maintain other digital platforms including websites and e-newsletters. Content creation includes, but is not limited to blog posts, photography, short videos, and athlete/artist profiles. This role will also be actively involved with large events and concerts, including event day responsibilities.



      This position may share an office or occupy single person workstation and should be able to handle interruptions and plan changes, and readjust priorities accordingly. The role is required to work flexible hours as program or project related events occur during evenings and weekends.

      Organizational Status

      Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 100 employees, and is led by a strong cross-unit management team. It services over 20,000 students through recreational programming, 25 varsity teams, 17 competitive club teams, along with thousands of members of the UBC community.

      Work Performed

      CONTENT CREATION

      - Draft, edit, post and schedule create high quality social media content to engage customers and partners across all assigned channels

      - Create digital content including photos, gifs and videos

      - Draft written copy, create written content for blogs, posts, captions, and other digital media

      - Manage and update social media content calendars for all assigned channels

      - Update digital signage, promotions, and design services for related projects

      - Collaborate with stakeholders to ideate, create, curate and manage the life cycle of important events on A&R s social media channels

      - Review, consolidate, write, and edit promotional materials and editorial content for websites, newsletters, reports, promotions, and information brochures.

      - Oversees and updates assigned websites, including weekly content, information updates, digital content updates

      - Create content around social media contests and organize prizing

      - Coordinates content for unit e-newsletters and promotion email communications to drive sales



      SOCIAL MEDIA COORDINATION

      - Monitor, assess and share social media results on a regular basis as they relate to marketing goals and objectives

      - Participate in and influence the development of social media and community support strategies

      - Track the growth and impact of our social activities and monitor trends, best practices and techniques around social media

      - Identify sensitive issues and potential escalations on social media

      - Execute communication management best practices, aiming to respond to comments and inquiries within 24 hours

      - Provide advice and training around social media activities for units

      - Oversee the health and growth of our key social media communities and channels and proactively make recommendations to changes or updates

      - Executes all promotional elements of assigned campaigns to consistently exceed unit objectives while maximizing participation, sales, and profile opportunities

      - Monitor emerging social media tools to see how they can be incorporated into current department marketing strategies

      - Execute grassroots promotions and initiatives to drive event sales and profile



      COMMUNICATIONS & EVENT COORDINATION

      - Analyze and compile data from reports, surveys, and other materials to be used in future marketing and promotions

      - Coordinates workflow between members of project teams, including content contributors, user experience specialists, and external consultants

      - Coordinate the implementation of communications plans; executes strategies and tactics. Assess the effectiveness of established communications plans and make recommendations for future improvements

      - Create digital content calendar for projects, events and yearly objectives. Leverage data to understand what content performs best (and why) and use those insights to inform the content calendar

      - Collaborate with stakeholders in content planning and ensuring alignment with campaigns

      - Actively seeks out partnerships and develops relationships with other campus units, student groups, and community partners in order to identify and leverage opportunities for collaboration

      - Communicates with stakeholders with respect to project status and negotiates any necessary changes to timelines or deliverables

      - Create post-event reports after large events and analyze the marketing impact of initiatives per event

      - Arranges for photoshoots, photographers, videographers and other resources as necessary for events or projects

      - Handle confidential or sensitive digital media and information about concert or large event announce dates

      - Work with artist s PR or marketing team to execute special event adds on initiatives such as artist meet and greets, VIP experiences, promo item pick up and other related events

      - Coordinate and supervise event photographers accredited to take photos or videos at event. Ensure that artist rules and requests are adhered to by the photographers

      Consequence of Error/Judgement

      This position is vitally important to updating and maintaining the public image of the department and the University. Failing to execute the logistics associated with marketing could lead to decreased or low participation and reduced revenues, thus impacting the opportunities available to UBC Athletics and Recreation to continue flourishing and enhancing UBC life. Moreover, the improper execution of details associated with the marketing of each event could result in a tarnished university image.

      Supervision Received

      Works independently under general guidance from the Associate Director, Operations and Senior Manager, Marketing and Communications. Works in close cooperation with manager and other staff on the Athletics and Recreation s marketing and communications team. This position also works closely with recreation programming staff.

      May provide training and/or supervision for support staff, including students.

      Preferred Qualifications

      Diploma in Marketing.Minimum of one year experience or the equivalent combination of education and experience.Full Class 5 driver s license preferred.

      Experience updating a website through use of a CMS.

      Knowledge of WordPress, HTML, and CSS is an asset.

      Experience with copywriting is an asset.

      Demonstrated self-starter.

      Flexible approach to work; willingness to work irregular hours as and when necessary. Strong computers skills essential including working knowledge of Microsoft Office Suite (including SharePoint), and Adobe Creative Suite.Strong command of the English language and writing skills.Excellent oral and written communication, interpersonal, conflict resolution and organizational skills.Able to lift or move heavy objects of approximately 50lbs.Strong organizational, and time management skills required.Ability to work effectively independently and in a team environment, and to bring energy, motivation and enthusiasm to the job.Ability to exercise sound judgment, multitask, prioritize and work effectively under pressure to meet deadlines.Ability to take initiative, analyze problems, identify key information and issues, and effectively resolve.
