- Perform administrative functions including maintaining the phone directory, answering and direct incoming calls to the main office phone line, processing and distributing incoming mail to the facility, and maintaining emergency contact records
- Maintain corporate business communication templates, corporate Sharepoint page, weekly executive reports and organizational charts
- Provide comprehensive event planning activities for corporate-level local networking events, ceremonies and meetings including communicating the schedule to employees.
- Act as primary contact for landscaping, administrative cleaning service, and office supply vendors to facilitate tasks to ensure cleanliness of administrative common areas including breakrooms, conference rooms, and lobby areas.
- Manage travel vendors and traveler profiles to coordinate travel and accommodations as needed for executives, employees, visitors, and job candidates ensuring availability to address matters outside of normal business hours
- Track and maintain records for company vehicles and employee driver documentation
- Support administrative tasks such as facilitating corporate apparel program, tracking and ordering supplies, nameplates, business cards, gifts, office signage, paying administrative vendors, and reconciling corporate credit card expenses.
- Coordinate administrative office repair needs with internal teams & external vendors
- Track, process, and facilitate non-profit organization and business sponsorship requests for both locations
- Communicate information to employees regarding endowed scholarship opportunities for dependents of employees
- Manage confidential information with professionalism
- Perform other administrative duties as assigned
- Proficient in computers, specifically Microsoft Visio and Office (Excel, Word, PowerPoint, and Outlook).
- Knowledge of business and management principles involved in strategic planning, resource allocation, and coordination of people and resources.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Knowledge of principles and processes for providing customer and personal services.
- Associates degree
- Five years of work experience in an administrative environment reflective of the skills, abilities and knowledge contained in this description
- Bachelor’s degree (Preferred)
