Job Description

Develop event concepts, themes and agendas based on business objectives
Collaborate with team members to understand goals, budgets and desired outcome; recommend improvements, new ideas
Coordinate venue selection, catering, AV equipment and other required services
Run event technologies, including registration and mobile apps
Manage event timelines, production schedules and supplier relationships
Ensure compliance with safety and accessibility standards
Create and manage event budgets, ensuring cost efficiency
Track expenses, negotiate vendor contracts, and manage invoices
Partner with the business/Marketing to develop promotional materials, invitations and event communications
Lead all aspects of event setup, registration and overall flow
Lead staff, volunteers, and vendors to ensure smooth delivery
Issues management
Flexibility for occasional evening / weekend work and extended hours
Gather feedback, analyze outcomes, and provide recommendations for future improvements
Maintain detailed records of event performance and attendee engagement
Bachelors’ degree or equivalent experience in event management/hospitality, marketing, communications
Minimum 7-10 years in event planning, project management or related roles
Strong organizational skills with the ability to manage several priorities
Excellent communications and interpersonal skills
Proficiency in event management software and digital communication tools
Ability to remain calm under pressure and resolve issues effectively
Familiarity with budgeting, contract negotiation, and vendor management

Aviva Canada’s Events team is responsible for planning and executing corporate events, conferences and meetings to deliver meaningful experiences (live and virtual) that align with Aviva Canada’s business objectives
We are seeking a detailed and dynamic Event Planner to lead the strategic planning, execution and performance management of a wide portfolio of events. The successful candidate will report to the Head of Corporate Events, and will provide expert guidance on venue selection, budgeting, and logistical planning to ensure seamless event execution. The ideal candidate will excel at balancing multiple projects simultaneously and delivering high-quality events that align with organizational goals.
