ABOUT THE ROLE
The Critical Communications Coordinator is responsible for supporting all Critical Communications teams, acting as a link connecting all business areas, departments, suppliers, and contractors. Provide support as directed by the Critical Communications Team, who manages the NSW Public Safety Network (PSN) on behalf of the NSW Telco Authority and help drive efficiencies within the Critical Communications and Service Integrity units of the business, supporting the achievement of its’ strategic goals.The Critical Communications Coordinator will have primary responsibility for the NOCC office and facilities at Sydney Olympic Park, support the other Critical Comms office and facilities (Castle Hill, Mt Druitt), provide administration support from within the Helpdesk, and perform other ad hoc duties and support to the operations team when required.
Key Responsibilities:
• Work collaboratively within the Critical Communications and Service Integrity Teams and provide support across the teams.
• Manage front of house functions for local office and facilities including but not limited to, ordering of stationery, uniforms, organising repairs, issuing guest Wi-Fi as required and locally based projects.
• Manage PSN Site Access Request approvals, issue keys and parking requests. Provide additional support for the PSN Help Desk as required.
• Manage and coordinate surveys or meetings including preparation of agendas, document and record minutes and distribution of final documentation to all members as required.
• Organise activities and functions for the Critical Communications Team, including venue arrangements, coordination of resource requirements and catering needs (offsites etc).
• Actively engage in the development and deployment of strategic initiatives, supporting the business improvement goals as required.
• Be an enthusiastic and proactive participant in business support opportunities and additional project work or tasks as they arise to support the business.
• Project coordination incorporating budget review, purchasing processes, coordination of contractors, and sourcing parts as required.
• Adhere to financial and budget processes in accordance with the organisations policies and procedures, including processing purchase requisitions, purchase orders, invoicing, and monthly accrual reporting.
• Handover of afterhours functions to Helpdesk and NOCC Operators to ensure service continuity.ABOUT YOU
• Demonstrable experience in a customer service focused environment, prioritising, and multi-tasking
• Strong knowledge of MS Office - Outlook, Word and Excel
• Working experience of purchasing and financial systems software preferable
• Experience using ServiceNow and other IT/Network systems advantageous
• Ability to work within ITIL principles and conform to industry standards will be well-regarded
• Experience in an operational or technical environment is favourable
• Ability to raise clear and concise calls within the Service Management Tool (ServiceNOW)
• Willing to work from Sydney Olympic Park NOCC or other facilities to support Disaster Recovery activities.
• Tertiary qualifications in relevant technical/service delivery studies and/or the relevant industry experience will support you in this role
• Australian Citizenship essential to obtain and maintain a baseline security clearance as a condition of employment
