      Job Description

      This position exists to engage each student in his or her own individual development and connect students to the resources they need. This is a Student Services Generalist position that assists students with high level needs in prospect, admissions, financial aid, and registration.

      Responsibilities

      Customer Service.

      On a daily basis, live the mission, vision and values of M State to ensure a positive experience for all students and stakeholders. Service to M State students and stakeholders is a core component of the position and work responsibilities.

      Assist students, utilizing all communications systems, by analyzing complicated and specialized financial aid, registration, and admissions information and provide services for external customers to facilitate the execution of student administrative services.

      Serve as a key service point for internal and external customers, with necessary information and assistance to guide students through the enrollment process including admissions, financial aid, and registration. Assist, via phone, email or appointment, all students who have applied for admission. Log into the M State general line que to receive /respond to calls/text/emails/incidents. Serve as back up to the Communication Specialist, to assist with physical mailings, prospect entering, texting, mass emails when needed. Assist students with housing inquiries. Assist with recruitment/enrollment events. Assist students with questions regarding online education degrees, processes, and procedures. Use Customer Relations Management System (Oracle and Salesforce) to document transactions w/students. Process registration pin resets, holds, arrange slips, change of address, and change of major forms. Assist students with the registration process. Assist students with the financial aid process. Assist students with loan applications. Assist with Free Application for Federal Student Aid (FAFSA) completion sessions with students. Disperse and collect all student services forms. Assist students with veteran’s questions.

      Assist in the recruitment and retention of students.

      Follow up with current and prospective students to schedule registration appointments, campus visits or advisor appointments. Support the college and campus recruiting activities as outlined in the college’s strategic enrollment management and student success plan. Support diversity, equity and inclusion initiatives.

      Support for campus and college operations.

      Recognition of broad and varied professional responsibilities which include but are not limited to support for campus and college operations such as: front desk coverage, registration events, Spartan Welcome Days, Commencement, this is not an exhaustive list. Support the operation of college and campus Student Services operational area(s) beyond the enrollment management office. Serve on campus, college and community committees as assigned, approved and appropriate that seek to enhance the student experience. Other related duties as assigned by the Director of Enrollment Management.

      Schedule appointments for employees and students as appropriate.

      Schedule appointments for Student Affairs staff. Schedule prospective or current student’s Accuplacer assessment or registration/advising session. Process student information by entering data on Minnesota State Community and Technical College (M State) website. Follow-up with communication to the staff member, if appropriate. Facilitate appointments with campus Academic Deans as necessary.

      Interview, hire, train and supervise student work-study and student workers.

      Initiate a training session with student regarding data privacy and security. Monitor student security behavior and report any problems immediately to supervisor. Train student workers in the basic essentials of the Resource Specialist process. Train work studies on technology (ex. Outlook, Oracle, ISRS data entry), office equipment use, and phone use/etiquette. Provide performance feedback. Initiate discipline procedures if necessary.

      Minimum Qualifications

      • Customer service skills sufficient to actively listen to and understand customer needs and provide accurate information and appropriate alternatives in a timely, thorough, courteous, respectful, and professional manner.

      • Ability to speak, write, prepare, edit materials (spelling, punctuation, and grammar), to ensure the accuracy and completeness of oral communication and written materials.

      • Data Entry skills sufficient to accurately enter data into spreadsheets and databases.

      • Word Processing sufficient to accurately produce documents, using proper business grammar, spelling, and usage.

      • Spreadsheets sufficient to maintain data and produce reports.

      • Data Base Management skills sufficient to develop and correctly enter information in a database; able to produce ad-hoc queries and develop reports for management use.

      Preferred Qualifications

      • Associate degree

      • Alternate work schedule in alignment with bargaining unit contract.

      • General knowledge of higher education policies and procedures related to the admissions, registration, and financial aid areas in student services.

      • Knowledge of admissions, registration, and financial aid procedures and services sufficient to answer technical questions.

      • Experience with complex office procedures.

      • High technical ability in ISRS.

      • Maintain the confidentiality of private information in order to comply with laws, rules, policies and procedures.

      Work Shift (Hours / Days of work)

      • 40 hours per week, Monday-Friday, 8 a.m. – 4:30 p.m.
