- Reception: Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries; keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays; comforts patients by anticipating patients' anxieties; answering patients' questions; maintains the reception area; ensures availability of treatment information by filing and retrieving patient records.
- Obtains complete demographic information; obtains pre-treatment documentation; obtains accurate information regarding financial status and/or Insurance, notating the appropriate Subscriber and Guarantor; obtains copies of insurance and ID cards; maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
- Performs cashier functions such as issuing receipts for payments and obtaining electronic authorizations for credit card payments; responsible for turning in all receipts and payments/cash daily by shifts end along with logging petty cash with a team member per shift (start-end person).
- Scheduling: Responsible for efficient, expedient, and accurate procedure scheduling; requests an accurate clinical history as necessary for the appointment; provides instructions, and specific preparations to the individual scheduling the appointment; reviews and evaluates scheduled appointments for completeness and compliance with applicable regulatory guidelines and hospital policy.
- Assist with admissions, discharges, and transferring of patients, obtains and documents vital signs & weight accurately and reports abnormal results to the Nurse; documents appropriately on the electronic medical record.
- Assists the duties of the BH OP Practice Financial Specialist, under the supervision of the Practice Manager.
- Completes data entry, billing, pre-authorizations for insurance purposes.
- All other duties as assigned by department.

OverviewThe Department Assistant provides clerical and administrative support in a Behavioral Health Outpatient setting to facilitate optimal operational flow. This position requires excellent customer service and communication skills while working directly with patients and professional staff.
Responsibilities
QualificationsHigh School Diploma/Equivalent is required.
2 years of Medical Office experience is required.
