- Answering incoming telephone calls with a positive customer service disposition, determining the purpose of calls and routing the calls or resolving a client’s needs;
- Progressing clients into intake with their respective programs by explaining the process, paperwork, scheduling appointments, and entering the appropriate demographic/program data in the electronic health record;
- Managing the Virginia Vital Events and Screening Tracking System (VVESTS), including issuing vital records for all Virginia residents;
- Creating doctors’ orders/physician certifications and submitting them to providers to be completed;
- Issuing Out of state transit permits, disinterment and reinternment permits, and noncontagious disease letters to clients;
- Processing birth, death, marriage, and divorce certificate applications, including ensuring certificates comply with Virginia Code;
- Collecting payments from individuals receiving services and providing individuals with receipts;
- Preparing correspondence by creating and assembling materials for mass mailings; and
- Providing high quality customer service, serving as a central point of entry to all DHS services.
- Must be bilingual (English/Spanish)
- Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; and
- Some experience providing administrative support and customer service in a human services environment.
- Customer service role in-person and/or by phone in a high volume or human services environment;
- Utilizing multiple technology sources and databases to enter and update data (i.e. MS Access or similar database);
- Using Microsoft Word and Excel to produce correspondence, spreadsheets and other sensitive and/or confidential documents; and/or
- Completing business transactions and detailed applications/forms for submission to state agencies.

The Department of Human Services (DHS) is seeking a Bilingual Customer Service Specialist (English/Spanish) to perform a wide variety of services in the Public Health Division, supporting the Finance and Administrative Support Services Team. This employee will embrace the use of multiple technology applications used for an array of technical and administrative duties in support of the Parent Infant Education (PIE) Program, the School Health Bureau, the Environmental Health Unit, Vital Records, and other division programs. The employee will serve as a first point of contact for culturally diverse customers, both internal and external, who are seeking information, referrals and other services.
Specific duties include:
The ideal candidate is adept with using various computer software systems, has excellent oral and telephone communication skills, flexibility, sensitivity, and the ability to remain professional and calm in a high volume, fast-paced customer service environment.

Substitution: Successful completion of college coursework from an accredited college or university may substitute for the experience requirement.
Desirable: Preference may be given to candidates with experience in one or more of the following:
Work Hours: 8:00 am to 5:00 pm, Monday through Friday. However, flexibility with work hours is required due to the nature of Public Health work.
