      Job Description

      Primary Function of Position

      Reporting to the VP, Corporate Law and Governance, and working in partnership with the EVP, Chief Legal and Compliance Officer and other members of the Legal Leadership Team, the Director, Head of Legal Operations will play a crucial role in initiating a Legal Operations group and in the strategic and operational effectiveness of the Legal Department.

      The ideal candidate will help establish and execute the Legal Department's strategic roadmap, embody the Continuous Improvement mindset, and be relentless in removing sand from the gears. This person will be responsible for overseeing the day-to-day operations and administrative functions of the Legal Department, such as budgeting, staffing, technology, vendor management, compliance, and reporting. They also will assist in aligning the legal strategy with business goals and priorities, and managing and tracking internal and external communications on legal matters. The candidate should have experience in information governance, legal technology solutions, payment processing, and document storage and archiving.

      Essential Job Duties

      • Contribute to the strategic planning for and execution of key Legal Department initiatives. This will include development of annual and mid-term strategies, goals, and priorities, implementation of strategic initiatives to enhance the effectiveness of processes and practices, creation and tracking of metrics to measure progress against such goals and priorities, arrangement of training and development opportunities, and performance of third-party benchmarking to align with best industry practices.
      • Supervise and manage third-party vendors, including administering engagements of law firms and other third parties, tracking of monthly, quarterly, and annual spend to maximize value, helping attorneys in negotiating and documenting fee arrangements, leading RFPs for major projects, monitoring law firms' and other vendors' operational performance through on-going assessments and benchmarking examination, managing recurring subscriptions, and evaluating other available resources to help Legal Department needs.
      • Proactively drive Legal Department financial and budgeting activities. This will include working with the Legal Leadership Team and Finance Department to develop and manage the budget and handle expense accruals, overseeing law firm and other vendor purchase requisitions and invoices, including for monthly bills and legal settlement payments, in existing systems, acting as a key liaison for law firms and vendors on financial matters, and leading relevant benchmarking initiatives, such as spend analysis and efficiency improvements.
      • Evaluate and improve processes and technologies to enhance efficiency and effectiveness. This covers the assessment of artificial intelligence solutions to improve internal processes and client help, strategic use of data, including through analytics, to assist decision-making, and development of reports, dashboards, and presentations on billing optimization, resource management, comparative legal costs, and financial operations.
      • Act as the lead for legal technology solution projects. This includes development of the strategy for, assessing the feasibility of, and prioritizing such projects, coordinating with the IT Department and PMO to implement technologies, and managing the Legal Department's intranet site (LEO) and public-facing website. Key technologies will encompass matter management, e-signing, document management, knowledge management, billing management, and client self-help opportunities, such as the legal request ticketing system.
      • Drive important communication and administrative initiatives, such as leading the new hire onboarding program, organizing and managing policies, guidelines, and trainings, overseeing physical document archiving and storage, preparing and publishing the Legal Department newsletter and pursuing other internal marketing initiatives, coordinating notarization and apostille services and partnering on the physical mail room, and managing annual Legal Summits and other large events.
      • Perform special projects and responsibilities upon the request of the EVP, Chief Legal and Compliance Officer.
