- Develop and implement processes related to document control and management.
- Check and edit incoming documents and prepare for distribution.
- Create, template, and revise documents as needed.
- Maintain a comprehensive and updated document control register.
- Ensure all documentation meets formal requirements and required standards.
- Coordinate all activities related to the document control procedure, including technical documents, drawings, and commercial correspondence.
- Input document data into standard registers ensuring that the information is accurate and up to date.
- Make sure all team members have access to necessary documentation.
- Ensure all documents are properly authorized and approved before distribution.
- Respond in a timely manner to all document related queries from team members.
- Assist in the organization's audits to ensure document control compliance.
- Monitor regulatory activity to maintain compliance with records and document management laws.
- Collaborate with internal and external auditors to minimize losses related to non-compliance.
- Train employees in the use of controlled documents to ensure correct procedures are being followed.
- Bachelor's degree in Business Administration or a related field.
- 5+ years of experience in a document control role within the Manufacturing industry.
- Strong knowledge of document control processes and practices.
- Proficiency in the use of document management software.
- Exceptional attention to detail and accuracy.
- Excellent organizational skills and the ability to handle multiple tasks simultaneously.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proven ability to handle confidential information with discretion.
- Demonstrated ability to meet deadlines and work under pressure.
- Familiarity with ISO standards and industry regulations is a plus.
- Advanced proficiency in Microsoft Office Suite, especially Excel and Word.
- Strong problem-solving skills and the ability to make sound judgement calls.
