      The role you’ll contribute:

      The Document Management Coordinator is responsible for processing and routing transactions including, but not limited to, the receipt, data entry, scanning and indexing of documents. Document management includes prepping incoming mail, grouping/indexing/profiling and accurately linking all related documents coming into the department by mail, fax or electronic communication using applicable software programs and the Risk Management Information System (RMIS).

      The value you’ll bring to the team:

      • Prioritizes and preps time sensitive incoming items by scanning and accurately linking all related documents and routing immediately through use of applicable software programs on a daily basis.
      • Follow established procedures and escalate transactions to the Regulatory Claims Manager, as necessary, to address customer needs sufficiently.
      • Opens departmental mail and preps it for scanning to the share drive.
      • Gives priority to time sensitive mail items, i.e., Petitions for Benefits, legal filings and documents by uploading, linking & routing them appropriately and immediately upon receipt.
      • Scans prepared mail documents daily by scanning into the share drive for uploading into the RMIS and linking. Mail, after scanning, is stored for 7 days. After 7 days, put documents into the shredding bin.
      • Reviews each document image to ensure it was captured to the standards of quality necessary for viewing. If pages are upside down or unreadable, corrects the document by rotating or re-imaging.
      • Views each scanned image for pertinent claim information that helps identify the claim and accurately searches for the correct claim in the RMIS.
      • Links document to established index keys so that documents are grouped in a logical order and accurately matched to the claim record to support claim decision making.
      • Routes the indexed image into workflow within 24 hours of receipt to the proper destination; routing non-claim related documents to the appropriate department personnel.
      • Actively monitors the various queues for additional items received that need linking or correction.
      • Monitors email every hour for new incoming e-mail attachments that need to be processed and links and routes appropriately.
      • Monitors the share drive every two hours for incoming faxes, converts the documents using the Adobe Pro software, uploads the documents into the RMIS linking document queues and links, indexes and routes appropriately.
      • Monitors invoice dashboards to ensure documents have routed properly. Renaming of file name may be necessary to ensure they are in the appropriate dashboard.
      • Creates checks from the two invoice queues when time permits or when requested.

      The expertise and experiences you’ll need to succeed:

      EDUCATION AND EXPERIENCE REQUIRED:

      • High School Diploma or Equivalent
      • Demonstrated computer skills and the ability to learn and fluidly navigate Origami, Perceptive Content, Adobe Pro and Microsoft Office Suite software programs
      • Effectively communicate in the English language

      EDUCATION AND EXPERIENCE PREFERRED:

      • Prior document management software experience
