      Job Summary:

      The Donor Database Administrator manages the daily operations of A New Leaf’s fundraising database, Raisers Edge/RE7. This role is responsible for ensuring accurate gift entry, data integrity, reporting, and reconciliation. The position supports donor engagement and fundraising efforts across departments, including Finance, Philanthropy, Marketing, Events, and Volunteer Engagement.

      This role does not involve IT system administration; all IT-related needs are handled by A New Leaf's IT Department. Instead, the Donor Database Administrator focuses on accurate gift processing and helping frontline fundraisers succeed with the right data and tools.

      Responsibilities:

      • Lead cross-departmental collaboration to ensure teams have access to the data needed to support their work. Maintain database architecture and structure to support finance, philanthropy, annual fund, volunteering, event management, and marketing.
      • Supervise one staff member and multiple year-round volunteers supporting timely gift entry, acknowledgements, and tax receipting for cash gifts, pledges, and in-kind donations.
      • Oversee donation and transaction entry within constituent records, including all giving types (cash, checks, credit cards, recurring gifts, memberships, gifts in kind, stock, planned giving , pledges, and payments on grants).
      • Partner with Finance to ensure timely entry of ACH and EFT donations and resolve complex gift entry issues to meet Finance and Philanthropy needs.
      • Generate scheduled and ad-hoc reports to monitor donor activity, track progress, and support fundraising efforts. Produce mailing and invitation lists for events and appeals.
      • Reconcile monthly donations with Finance and support annual audit processes.
      • Maintain data accuracy by updating biographical and contact details. Track volunteer, event attendance, and other relevant attributes to support donor relationship development.
      • Oversee all gift receipting and acknowledgement processing, including donor tax receipts, tribute cards, invoices, and pledge reminders.
      • Provide staff access to data through self-service tools, reports, exports, or dashboards. Offer training and support for new and current staff as needed.
      • Collaborate with Events Manager on event webpages, donor communications, reporting, and payment processing.
      • Assist with grant-related research and reports.
      • Support staff collecting donations at community and volunteer engagement events.
      • Maintain and report on custom donation links for third-party donation drives and events. Troubleshoot issues as needed.
      • Identify or partner with tools that provide data analysis to generate insights and support initiatives.
      • Support audience segmentation for mailings, events, programs, and communications.
      • Coordinate quarterly Database Committee meetings to share updates and collect feedback from Philanthropy, Private Grants, Community Engagement, IT, and Finance.
      • Develop and maintain Standard Operating Procedures (SOPs) for database and third-party platforms (including Raiser's Edge NXT, RE7, Fundraise Up, BBMS, and other donation/event tools).
      • Perform other duties as assigned.

      Qualifications:

      Education:

      • Bachelor's Degree Required

      Experience:

      • 3–5 years of experience using donor databases or CRM systems (experience with Raiser's Edge preferred)
      • Raiser’s Edge NXT Professional Certification, preferred
      • Raiser’s Edge NXT Fundamentals Certification, preferred
      • Experience in nonprofit philanthropy
      • Proficiency in Microsoft Office Suite/365 Cloud Suite
      • 2+ years of experience supervising staff and/or volunteers

      Working Conditions/Physical Requirements:

      • Primarily office-based position with travel to program sites, donor events, meetings, and volunteer locations.
      • Ability to sit for extended periods while working on a computer.
      • Occasional lifting of up to 25 lbs. for materials or office supplies.
      • Exposure to typical office equipment, such as computers, phones, and printers.
      • Ability to manage multiple tasks and projects in a deadline-driven environment.
      • Requires visual acuity to review detailed data and produce accurate reports.
      • Must be able to maintain confidentiality and professionalism in a ll donor , client, and staff interactions.
      • Occasional attendance at evening or weekend events may be required .

      • DCS Central Registry Background Check

      • CPR/First Aid Certification
      • Valid Unrestricted Driver’s License
      • Current Auto Liability Insurance
      • 39 Month Motor Vehicle Record
      • Adhere to all organizational policies, including the Code of Conduct, professional standards, and relevant regulations.

      Mandated Reporter Requirements:

      • As a mandated reporter under Arizona statute A.R.S. § 13-3620, you are required to immediately report any suspected abuse or neglect of a minor to your Supervisor, Manager, Director, Clinical Director, or Chief Officer, who will assist in making the appropriate report to authorities.
      • Reports should be directed to either the local law enforcement agency or child protective services (1-888-SOS-CHILD). Abuse suspected of involving a family member or legal guardian should be reported to child protective services, while other cases should be reported to law enforcement.
