- GENERAL SUMMARY

The Donor Relations and Volunteer Program Manager is responsible for overseeing New London Hospital’s volunteer program, managing donor relations and ensuring effective communication and acknowledgment of donors. This role involves recruiting, training, and supervising volunteers, maintaining a volunteer database, managing budgets related to volunteer programs, and fostering positive relationships with donors through communication and stewardship efforts.

- FUNCTIONAL DUTIES AND RESPONSIBILITIES

Volunteer Program Management:
- Develop and implement strategies for recruiting, training, and retaining volunteers to support various hospital departments and initiatives.
- Create comprehensive training materials and orientations for volunteers to ensure they understand their roles, responsibilities, and the hospital's mission.
- Coordinate volunteer schedules, assignments, and evaluations to ensure smooth operations and optimal volunteer utilization.
- Foster a positive and supportive environment for volunteers, addressing any concerns or issues that arise.
Volunteer Database and Budget:
- Maintain a well-organized volunteer database, tracking volunteer information, hours, and activities for reporting and analysis purposes.
- Develop and manage the budget for the volunteer program, ensuring resources are allocated efficiently for training, recognition, and program enhancements.
Volunteer Recognition:
- Develop and implement a comprehensive volunteer recognition program to acknowledge volunteers' contributions and milestones.
- Organize events, awards, and appreciation activities to celebrate volunteers and foster a sense of community.
Donor Relations and Fund Management:
- Establish and maintain positive relationships with donors, addressing their inquiries and needs in a timely and personalized manner.
- Collaborate with Dartmouth Health DH Medical and Healthcare Advancement gift processing team on the management of the donor relationship database to provide quality control of all data.
- Ensure accuracy and integrity of gift/financial data, constituent biographical data, and reporting capabilities. Maintain accurate constituent records in the database, including timely entry, updates, and data hygiene.
- Ensure timely and personalized acknowledgment of donations, demonstrating the hospital's appreciation for donors' contributions.
Stewardship and Donor Funds:
- Contribute to a comprehensive stewardship strategy for donors by overseeing and reporting on donor funds.
- Manage the process for tracking donor funds from creation to pledge fulfillment.
- Collaborate with departmental leaders to ensure that donor funds are being utilized appropriately and in accordance with donor preferences.
- Assist in developing meaningful stewardship reporting for donors using data related to fund utilization.
Compliance and Reporting:
- Ensure compliance with all relevant regulations and guidelines related to volunteer management, donor relations, stewardship, and fund management.
- Generate regular reports on volunteer engagement, donor contributions, fund utilization, and the effectiveness of recognition and stewardship strategies.
General Support:
- Participates as a team member in Community Relations and Development and organizational activities. Actively participates in projects, special events, cross-functional teams or workgroups that support the work of the entire organization.

- Knowledge / Skills / Abilities

- Strong interpersonal, communication, and relationship-building skills.
- Proficiency in database management and Microsoft Office Suite.
- Ability to work collaboratively with diverse stakeholders, including volunteers, donors, hospital staff, and leadership.
- Exceptional organizational and project management skills.

- Experience
- Proven experience in volunteer program management, donor relations, fund management, stewardship, or a related field.

- Education
- Bachelor's degree in a relevant field (such as Nonprofit Management, Public Relations, Communication, or Business Administration) or five years of equivalent experience.
