      The American Academy of Dermatology is seeking an Editorial Specialist, Medical Journals (Remote) responsible for coordinating Editorial Office operations for the open access (OA) journals in the Journal of the American Academy of Dermatology (JAAD) journal portfolio, including JAAD Case Reports (JDCR), JAAD International (JAADi), and JAAD Reviews (JDRV). Work with the Senior Managing Editor, the journal Editors and their Boards, as well as with Elsevier’s Production Manager, to ensure timely peer review and publication of the assigned journals. Respond to OA journals’ emails using the Zendesk customer support site, and coordinate the administration, reports and dashboards and related help center in Zendesk. Work with AAD Education Department to oversee JDCR Case Challenge Continuing Medical Education (CME) articles and compliance paperwork. Work with stakeholders to schedule reoccurring OA journal team meetings and coordinate with editors and staff to develop meeting agendas and materials. Work with the JAAD Editorial Specialist to support social media efforts for JDCR, JAADi, and JAAD Reviews.

      Responsibilities:

      • Coordinate the efficient and effective daily Editorial Office operations for JAAD Case Reports, JAAD International, and JAAD Reviews. Work with the Senior Managing Editor to monitor the Editorial Manager (EM) manuscript submission sites for the open access journals, including the identification and resolution of technical issues in conjunction with the Publisher. Ensure effective management and processing of manuscripts in a timely fashion. Monitor the manuscript submission and review processes and follow-up on missing forms, figures, Mendeley links, or any other information needed prior to article transmission to the publisher. Maintain detailed production notes and instructions for the Publisher where needed. Transmit accepted papers to the publisher. Serve as primary communication liaison for the Open Access journals, using the Zendesk system.

      • Maintain effective relationships with journal editors, reviewers, authors, the Publisher, and AAD staff. Respond to JAAD journal editors and AAD staff correspondence within 1-2 business days. Provide timely and accurate information/reporting, technical assistance, and time-sensitive guidance to journal editors. Upload content to Editorial Manager on behalf of journal Editors, as requested. Coordinate with AAD media relations and Elsevier production staff on manuscript embargoes and ensure that embargoes are upheld. Support Senior Managing Editor and Guest Editors on virtual special issues editorial workflow.

      • Serve as primary staff responsible for journal-based continuing medical education (CME) operations and records keeping for the monthly JDCR Case Challenge. Ensure effective editor communication and processing of JDCR Case Challenge manuscripts in a timely fashion. Ensure timely compilation and maintenance of CME documentation folders for accepted Case Challenge articles, following established procedures. Work with authors, editors and reviewers as well as the Education Department to ensure the Case Challenge question and answer is in the correct format. Establish, maintain, document, and assess effective operations/processes between the Editorial Office, AAD Education Department, Editors, and the Publisher.

      • Schedule reoccurring journal team meetings, develop and disseminate agendas and supporting materials. Facilitate/lead the team meetings for the OA journals.

      • In coordination with the Senior Managing Editor, serve as liaison to Elsevier on journal (JBS and Science Direct) website updates, specifically Author Information, Editorial Board pages, and reader information page updates, quality monitoring, and functionality, as well as other web pages as assigned. Communicate and monitor change requests and update status. Ensure that the Journals’ information on the AAD.org website is up to date.

      Requirements:

      • Bachelor’s degree in English, journalism, communications, or related field required. Minimum 2 years’ experience in publishing or similar field required.
      • Three years’ experience in scholarly journal management for a medical society preferred.
      • Strong organizational skills and the ability to prioritize and manage multiple tasks simultaneously.
      • Expert skills with Editorial Manager or similar editorial workflow database (manuscript processing software). Experience with manuscript processing procedures is preferred.
