      Description

      As the first point of contact for many campus guests, the Enrollment Services Specialist is responsible for welcoming prospective students and their families and serving as the point of contact for visitors before, during, and after both personalized visits and larger campus events.

      The Enrollment Services Specialist at Helms College is responsible for providing helpful and friendly assistance to all visitors, whether in-person, over the phone, or through email. Their duties include organizing campus visits, addressing scheduling issues, assisting student and admission representatives, and connecting future students with appropriate resources.

      It is important for the Enrollment Services Specialist to embody the Goodwill philosophy, emphasizing quality service, growth, sound economic principles, and a positive and innovative environment. Exceptional customer service skills are necessary for ensuring that all Helms College constituents feel supported and valued, including potential students and other team members.

      Principle Accountabilities

      • Exhibit Goodwill Principles:
        • Exemplify service, ownership, accountability, and respect in all interactions.
      • Support Helms College Mission:
        • Actively advance the mission of Helms College and adhere to its policies and procedures.
      • Communication and Visitor Management:
        • Answer phone calls and make confirmation appointment calls for Helms College.
        • Greet and direct visitors to the appropriate person or department.
        • Offer excellent customer service and information on admissions to students, staff, parents, and community members via phone, virtual meetings, and email.
        • Call students to set admissions appointments.
        • Ensure timely service for all visitors and students.
      • Clerical Duties:
        • Perform general clerical tasks such as photocopying, mailing, and filing with attention to detail.
        • Prepare and upload documents to electronic student files.
        • Audit admissions files for accuracy and completion.
      • Meetings and Training:
        • Attend daily meetings and weekly training sessions, actively participating to gain and apply knowledge.
        • Complete accurate minutes, distribute minutes and maintain minutes electronically.
        • Share ideas for process improvements to enhance departmental efficiency.
      • Financial Aid Support:
        • Assist with special projects, data collection, and coordination of student appointment
        • Assist students in understanding what information they may need to bring to their FA appt.
        • Aid team members with administrative tasks as needed, following supervisor approval.
      • Resource Management:
        • Maintain inventory of office supplies and marketing materials, coordinating orders as necessary.
      • Data Collection and Reporting:
        • Collect, analyze, and report on admissions data to identify trends and areas for improvement.
        • Maintain accurate records of all admissions activities and prepare regular reports for leadership team.
      • Miscellaneous Duties:
        • Refer individuals to Job Connection or Goodwill Career Education as appropriate.
        • Comply with all institutional, state, and federal policies, guidelines, and regulations.
        • Perform other duties as assigned.

      Qualifications


      • Technical Proficiency: Strong computer skills, particularly in Microsoft Office; ability to use office technology, customer database (CRM, SIS), pleasant phone demeanor; accuracy and speed in typing.
      • Organizational Skills: Superior organizational abilities; strong problem-solving skills; ability to manage multiple tasks and meet deadlines.
      • Interpersonal Skills: Strong interpersonal skills with faculty, students, and staff; ability to work independently and cooperatively; sensitivity to the needs of all persons.
      • Professionalism: High degree of discretion with confidential information; goal-oriented and ethical.
      • Experience: Minimum two years of clerical, sales, or administrative experience.
      • Education: Minimum of an associate's degree (bachelor's degree preferred) from an accredited college or university.
      • Customer Service: Ability to provide accurate information to callers and visitors; sincere interest in helping others achieve life goals.
      • Teamwork: Ability to interact effectively as a team member and work collaboratively with other departments.
      • Adaptability: Ability to adapt to changing assignments and priorities; availability to work evenings and weekends as necessary.
