      The Ambulatory Capacity Management (ACM) department, as part of Ambulatory Operations & Services, consults with the Ambulatory practices Massachusetts General Hospital, Massachusetts General Physicians Organization, and other entities within the Mass General Brigham enterprise, to manage and optimize provider schedules with the goal of helping Ambulatory practices achieve their scheduling access goals. The ACM department’s primary responsibilities include maintaining provider templates, consulting with practices to maintain Epic build and interpreting analytical data into actionable recommendations.

      The Template Coordinator, reporting to the ACM Manager will perform a wide range of duties pertaining to building provider’s scheduling templates and will be called upon to perform in-depth analysis of template management workflows and auditing to support the governance of template features in the Ambulatory setting. The Template Coordinator will work closely with other members of the ACM department as well as staff from clinical departments, project managers and data analysts from the Ambulatory Operations and Services departments at Mass General and Brigham and Women’s Hospital.

      • Under direction and collaboration with ACM Manager, responsible for the building of provider’s schedule templates. This includes evaluating different scheduling functionality to enhance template design to improve throughput and/or access.
      • Fulfills schedule change requests quickly and accurately, consistently seeking opportunities to utilize best practice strategies and techniques:
        • Identifies and completes necessary modifications to master and daily templates, and decision tree build to meet client requests
        • Consistently meets or exceeds Service Level standards when resolving requests.
        • Independently carries out project work and meets all project deadlines.
      • Collaborates and coordinates with practice operations leaders to process and manage requests for schedule changes.
        • Use Mass General Brigham guiding principles to evaluate incoming template change requests and manage the change request through to completion.
        • Identify and complete necessary modifications to scheduling templates.
        • Facilitate dialogue around additional enhancement opportunities that may improve workflows, access, or leverage automation.
        • Consistently meet or exceed Service level Agreements (SLA) when evaluating and resolving requests.
        • Document and revise master files to track changes and ensure that they are always up to date.
      • Monitor and communicate deviations in master template, approved exceptions to master schedules, and SLA concerns.
      • Performs other support of Ambulatory Access & Capacity Management and the 259+ Ambulatory practices across MGH and other MGB organizations, to ensure an efficient, high quality & safe experience for patients, providers, and staff
      • Completes required training as needed to maintain the appropriate template builder access in Epic and to meet requirements of the work as directed by department leadership.
      • Participates in other work, projects, meetings, and committees as assigned.

      Working Conditions

      • Hybrid role with at least 80% of time spent working remotely.
      • May be required to travel to any location within the Mass General Brigham enterprise, though most on-site meetings will take place in the Boston metro area.
      • As projects and priorities dictate, non-standard work hours might be needed.

      Qualifications

      • Associates degree or equivalent related experience required. Bachelor’s degree (completed or pursuing) in healthcare management, public health, or related field preferred.
      • Epic Cadence Certification desirable but not required.
      • Must have a minimum of 2 years of related experience. A preference for experience working within a healthcare practice/clinic or with Epic cadence or other scheduling systems. Experience managing provider schedules is a plus.

      • Proficient level Excel user
      • Strong communication skills- written, verbal, and listening
