      Job Summary

      The Equipment Control Specialist is responsible for planning, directing, and managing company and customer-owned chassis and containers at terminal and customer locations. This role ensures accurate system updates, tracks and traces equipment, audits invoices, schedules maintenance, and manages email communications. The position supports dispatch, operations, and account management teams to optimize equipment utilization, reduce per diem exposure, and maintain compliance with company guidelines.

      Essential Duties and Responsibilities

      Duties include, but are not limited to:

      • Equipment Tracking and Management:
        • Monitor and update equipment status (chassis and containers) in the TMS system.
        • Track and trace equipment locations daily to ensure accurate system records.
        • Coordinate with site locations to identify and recover equipment.
        • Maintain and manage Pacifica’s equipment pool, ensuring all assets are properly tagged.
        • Manage daily terminal appointments for empty returns to maximize single and dual transactions.
        • Monitor daily termination sites and ensure proper scheduling of container appointments to mitigate per diem exposure.
      • Reporting and Analytics:
        • Generate daily, weekly, and monthly reports on equipment usage, dwell time, and utilization.
        • Issue and reconcile Empty Container Status Reports and Chassis Utilization Reports.
        • Analyze network-wide equipment dwell times and address the risk of per diem charges.
      • Invoice Auditing:
        • Validate and dispute vendor and ocean carrier invoices related to equipment usage, including per diem.
      • Customer Service:
        • Provide equipment-related support to internal departments and external customers.
        • Respond promptly to equipment-related inquiries via email and phone.
      • Administrative Responsibilities:
        • Manage the Equipment Control email inbox.
        • Follow and enforce company policies and administrative procedures.
        • Meet designated KPIs weekly, monthly, and quarterly.
      • Collaboration:
        • Work closely with dispatch, safety, and customer service teams.
        • Maintain strong partnerships with operations and account management to ensure efficient equipment management.
      • Other Duties:
        • Various special projects and responsibilities as assigned by management.

      Supervisory Responsibilities: This job has no supervisory responsibilities.

      Qualifications

      Education and/or Experience: Bachelor’s degree or equivalent combination of education and experience (one to two years preferred).

      Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Bilingual English/Spanish a plus.

      Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

      Computer Skills To perform this job successfully, an individual should have knowledge of Microsoft Outlook, Microsoft Excel, and Microsoft Word in addition to knowledge of various types of office equipment; experience with TMS systems is a plus.
