      Eleiko Sport is seeking a dynamic and versatile Event and Office Coordinator to join our team in Austin, TX. This role combines the excitement of event planning with office administration and executive assistant responsibilities. The Event and Office Coordinator will primarily focus on organizing and executing events but will also provide crucial administrative support to ensure the smooth operation of our office. This role is based in Austin, TX at our HQ and is not eligible for remote work.

      Key Responsibilities:

      Event Coordination (75%):

      1. Plan and Execute Events:
        1. Lead the planning and coordination of Eleiko Sport events, including trade shows, product launches, workshops, and promotional activities.
        2. Handle all logistical aspects, such as venue selection, vendor management, and event setup.
        3. Ensure events run smoothly and that participants have a positive experience.
      2. Promotional Materials:
        1. Collaborate with the marketing team to develop event-specific marketing materials, including brochures, banners, and promotional items.
        2. Oversee the production and distribution of promotional materials.
      3. Budget Management:
        1. Assist in creating and managing event budgets, tracking expenses, and reporting on event ROI.
      4. Vendor Relations:
        1. Liaise with event vendors and suppliers to negotiate contracts, coordinate services, and ensure timely deliveries.
      5. Attend Events:
        1. Represent Eleiko Sport at events, interact with customers, and provide assistance as needed.
        2. Collect feedback and insights to improve future events.

      Office Administration/Executive Assistant (25%):

      1. Administrative Support:
        1. Provide administrative support to the executive team, including calendar management, travel coordination, and expense reporting.
        2. Handle office tasks such as answering phones, managing mail, and maintaining office supplies.
      2. Sport Center Management
        1. Greet customers as they visit our Austin HQ space and direct them to the correct staff member.
        2. Support the staff in creating a customer-centric space at HQ.
      3. Data Management:
        1. Maintain organized records, databases, and files to support office operations.
        2. Assist with data entry and reporting as required.
      4. Meeting Coordination:
        1. Schedule and coordinate meetings, prepare agendas, and take meeting minutes as necessary.

      Qualifications:

      • Bachelor's degree in Event Management, Business Administration, Marketing or related field preferred.
      • Proven experience in event planning and coordination.
      • Strong organizational with meticulous attention to detail.
      • Excellent communication and interpersonal skills, you will be the face of Eleiko to our customers.
      • Proficiency in Microsoft Office Suite and Google Workspace.
      • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
      • Willing to travel 10% of the time and work the occasional weekend event.
      • Enthusiastic and adaptable with a passion for event planning and fitness.
