      Department Summary

      Through the Division of Student Life, the University of Oregon provides an array of services and programs to help students benefit fully from their educational programs, and to help the University carry out its mission of research, teaching, and service. As a unit of Student Life, the Erb Memorial Union (EMU) through full use of its programs, facilities (220,000 square feet), personnel (over 80 full time staff, 350-400 paid and volunteer students), and budget (over $6 million) provides opportunity for enhancing the out-of-classroom experience of the student body, culturally, socially, educationally, and recreationally. Through full and complete utilization of its personnel, both students and staff, facilities and services, the EMU shall provide such programs as shall complement and supplement the academic program of the University.

      Position Summary

      The purpose of this position is to review, research, plan, and facilitate the scheduling of University facilities for non-academic activities and events. Duties will include: communicating policies that govern the use of University property to university departments, student organizations, and individuals to ensure compliance with federal, state, county and UO laws, rules and regulations; performing lead duties in the development, implementation, and growth of a wide range of event management and coordination services; maintaining historical and future data for events with scheduling priority and/or repeat needs (i.e., Orientation, Admissions and Advising programs, EMU administration, ASUO senate, UO Senate, UO Foundation, Commencement, HR annual recognitions, and events with a historical relationship to the EMU); acting as outreach to help ensure event success through advance scheduling and planning; developing/maintaining institution-wide compliance and operational relationships; and training, research, and report development/evaluation to assess success in service delivery and program expansion opportunities.

      This position offers the opportunity to work in a dynamic setting in the heart of campus, and to work closely with the students, staff, faculty, and guests served by the many events hosted in EMU spaces.

      Minimum Requirements

      • Three years of office experience which included two years at full performance level and experience generating documents; and
      • Lead work responsibility or coordination of office procedures.

      • Excellent customer service skills including ability to communicate in multiple modalities.
      • Ability to communicate effectively with individuals from diverse backgrounds and cultures.
      • Ability to prioritize work and deal with high-volume traffic, adapt to not necessarily being able to complete all tasks on a given day, while continuing to provide excellent customer service.
      • Ability to work successfully both independently with appropriate discretion, and in a collaborative team environment.
      • Excellent organizational and time management skills with attention to detail.
      • Proficiency with word processing, spreadsheets, database applications, and scheduling software programs.
      • Ability to work a flexible schedule to accommodate occasional evening or weekend activities.

      Preferred Qualifications

      • Applicable experience in event planning or complex logistics management.
      • Experience that demonstrates success with tasks requiring a high level of accuracy and attention to detail.
      • Experience that required the ability to communicate effectively with individuals from diverse backgrounds.
