Event Coordinator-12 month Fixed Term Contract

As a Barclays Event Coordinator, you will manage, develop and execute an incredibly diverse range of events to the highest standard through excellent organisational skills, innovation and creativity. You will ensure activity is aligned with business objectives, firm-wide policies & procedures, marketing, communications strategies and our corporate narrative. You will also be responsible for all aspects of event management on a varying scale of events, often leading a project team of other colleagues.

What will you be doing?
• Preparing and managing event budgets and end-to-end finance process, event timelines and project plans, procurement activities and support colleagues with theirs
• Delegating management including invitation production, joining instructions and on-site management
• Being responsible for following all internal processes and policies, use internal technology systems effectively and follow our health and safety risk assessment procedures for all events
• Liaising with internal hosts to proactively recommend event activity, review their detailed event requirements and maintain communication throughout the planning and execution process
• Speaking and hosting management including speaker suggestions, collation of presentations, speaker briefings and accommodation requirement
• Championing an agreed process - such as legal, compliance, creative, sourcing, catering, diversity, accessibility and provide regular updates to the wider team
• Acting as an Ambassador for events inside and outside the bank
• Managing the staffing requirements on site – briefings, on-site management, preparing event collateral, schedules, evaluations, surveys and post-event debrief meetings
What we’re looking for:
• Professional experience (any industry) running end to end events; including budget, stakeholder and logistics management alongside industry knowledge and experience
• Professional experience of producing Virtual events using virtual platforms e.g. TalkPoint, Open Exchange or similar
• Proficient in Microsoft skills (Ppt, Word, Excel, Outlook, MS Teams)
• Aptitude and ability to navigate using different Event technology systems (OneEvent; BTS; Concur; Coupa; Stova)
Skills that will help you in the role:
• Proven skills and experience in negotiation and project management, able to maintain good and effective relationships with our preferred suppliers
• London, UK and Europe Events Industry knowledge
• Knowledge of other languages will be an advantage
• A team player with excellent communication skills (verbal & written) with the ability to guide and persuade others

In the heart of Canary Wharf, our headquarters at Churchill Place boasts onsite amenities such as; a gym, staff restaurant and deli bar, and is easily accessible by tube and bus links. With a population of around 5000 staff the atmosphere is second to none with a real buzz being created around the offices within.
