- College event scheduling and oversight including large student-driven events.
- Student event scheduling and policy oversight.
- General Rollins event inquiries via EMS dashboard, phone, and email.
- Daily and weekly setup reports sent to service providers.
- Scheduling assistance for specific Rollins departments, including:
- Rollins Museum of Art events (including rentals)
- Bach Festival Choir scheduling
- Event calendar oversight and training in coordination with the Communications and External Relations office
- Banner policy oversight and coordination.
- Parking reservations.
- Scheduling and Event Services website maintenance.
- Maintain and order office supplies.
- Assistant Wedding Chapel Supervisor with rehearsal and day of facility oversight.
- 1885 Events sales and business development support.
- Daily sponsored events that include distribution of event classification form, approval from corresponding Vice President, collection of forms, payments, and insurance.
- Filming and Commercial Photography contracting and staffing.
- Summer Conferences Assistant Manager – Assist with hiring of event staff and paperwork, and coordination of conference groups.
- Assist with staffing and support for large-scale Rollins and Presidential events, including Convocation and Commencements (3).
- One year of experience in the events industry.
- Computer skills: use of word processing, spreadsheets, and database systems.
- Possess a valid driver’s license, or ability to obtain a Florida driver's license within 30 days of accepting the job, and an acceptable Motor Vehicle Record is required.
- Bachelor’s degree in a related field.
- Experience working in higher education.
- Knowledge of a college or university environment, departments, procedures, and policies.
- Knowledge of and/or experience working with EMS.
- Strong skills in customer service and ability to communicate effectively both orally and in writing.
- Working knowledge of various office machines and computer software including web design, publisher, photoshop, and data/software integration.
- Ability to interact effectively with faculty, staff, students, and the public is strongly desired.
- Ability to use tact and good judgment in resolving work problems and dealing with the public, students, and staff.
- Ability to represent the college through events and summer programs.
- Organizational and time management skills.
- Maintain, update, and analyze files and records with a high degree of accuracy.
- Campus-based, front-facing customer service position, working in an office environment.
- Regular use of a computer and databases.
- Position involves bending, lifting, and walking for extended periods.

Job
Summary:The Event Coordinator oversees administrative functions of the department including daily scheduling, student event approvals, general event inquiries via the Event Management System (EMS) dashboard, phone, and email, and daily and weekly reporting to service providers. This position supports larger, campus-wide events as well as on-site support, sales, and business development for 1885 Events. The event coordinator assists with hiring summer conference coordinators and day-to-day operations of summer conferences.

Work Schedule:
The Event Coordinator is a full-time, 12-month appointment, scheduled to work 7.5 hours/day, 37.5 hours per week. The schedule for this role is Monday to Friday, 8:30 am to 5:00 pm*.
*Flexible schedules or overtime may be required to meet the demands of the event calendars.
