      JOB DESCRIPTION

      POSITION TITLE: Events & Partnership Specialist

      REPORTS TO: Director of Events & Partnerships

      DEPARTMENT: Events and Partnerships

      CLASSIFICATION: Year Round Full Time

      FLSA STATUS: Non-Exempt


      GENERAL PURPOSE

      The Events and Partnerships Specialist will work with the Events and Partnership Manager and Director of Events and Partnerships to support all special events and partnerships functions, including races, concerts, partner activations and other events at the resort. The Events and Partnerships Specialist will also support the Marketing and Communications Teams in all Marketing initiatives.


      ESSENTIAL FUNCTIONS


      • Assist Event and Partnerships Manager with planning, promoting, and executing special events and Partner functions organized by the Jackson Hole Mountain Resort
      • Work with Communications and Marketing teams to help develop actionable marketing and communications plans to promote events and JHMR digitally, socially, and in paid advertising when appropriate.
      • Work with Events and Partnership Manager to manage event presence on Jacksonhole.com and support JHMR events on the Jacksonhole.com blog with event pre-promotion and event re-cap and results.
      • Support Events and Partnership Manager for internal events, organize registration, generate start lists and produce results
      • Manage event presence on Jacksonhole.com and support JHMR events on the jacksonhole.com blog with event pre-promotion and event recap and results.
      • Work with the marketing and communications teams to maximize media coverage and exposure for events and partner activations.
      • Designate and reserve event locations at the resort, including the event tent.
      • Support the Events and Partnerships Manager in the execution of all events and partner activations.
      • Coordinate with operations, race crew, ski patrol, and any other internal JHMR departments involved in special events.
      • Assist Events and Partnership Manager with JHMR holiday amenity programming and services at Christmas, Spring Break, and other holidays.
      • Assist with administrative tasks for Sales, Marketing, and Communications departments.
      • Help coordinate ticketing with Groups Department for Racers and Special Events
      • Work with marketing and communication teams to maximize media coverage and exposure for events.
      • Coordinate with race crew to staff winter events.
      • Coordinate with Jackson Hole Ski and Snowboard Club (JHSC) on all races.
      • Manage partner passes, lift tickets, and other physical deliverables as outlined in their agreements.
      • Maintain the inventory of all event materials which include but are not limited to banners, wind blades, tents, race bibs, event collateral, fencing, tents, props, prizes, etc.
      • Fulfill all lodging requests and keep detailed records of partner deliverables.
      • Maintain the Jeep fleet.
      • Maintain events on all internal and external marketing channels.
      • Fireworks liaison.
      • Liaison for the July Fourth Parade and other Chamber events.
      • Oversee partner sampling.
      • Work closely with the Retail Marketing coordinator on all partner activations and retail events.

      OTHER FUNCTIONS


      • Assist Marketing Department with various projects.
      • Attend Weekly Marketing and Sales staff meetings.
      • Attend Weekly Operations Meeting if necessary.
      • Help maintain inventory of all event materials which include but not limited to banners, wind blades, tents, race bibs, event collateral, fencing, props, prizes etc.

      JOB QUALIFICATIONS


      KNOWLEDGE, SKILLS & ABILITY:

      • Strong organizational skills.
      • Strong written and oral communication skills.
      • Strong promotional skills.
      • Working knowledge of Microsoft Word, Excel, and basic computer skills.
      • Ability to navigate the terrain necessary to perform the requirements of the job.
      • Ability to accommodate a fluctuating schedule, as the job requires.
      • Ability to travel as necessary and work weekends and nights as necessary.
      • Ability to adapt to a variety of situations.
      • Detail oriented.
      • Excellent people skills.
      • Valid driver’s license.


      WORK ENVIRONMENT:


      This job operates both indoors and outdoors. The indoor work environment is primarily in a clerical office setting. This role routinely uses computer and phone. Most event planning work is completed in an indoor environment. Frequent outdoor work completed as well to execute events. Outdoor environment may cause exposure to extreme temperatures and varying weather.

      PHYSICAL DEMANDS:

      • Ability to sit for long periods of time at a desk and working on a computer.
      • Extensive use of fingers to type and perform other computer work.
      • Frequent walking and moving about on foot to set up Events.
      • Hearing and ability to give and receive detailed information through oral communication at normal speaking level both in person, over the phone, and over a two-way radio.
      • Close visual acuity for reviewing and preparing contracts and billing orders.
      • Ability to ski or snowboard expert terrain while carrying event and/or race gear.
      • Ability to lift a minimum of 50 lbs to set up and breakdown Events.
      • Ability to drive a motor vehicle in varying weather conditions.

      POSITION TYPE AND EXPECTED HOURS OF WORK:

      This job is year round full time and typically works during daytime business hours. However, during events, work will be required on evenings and weekends. Schedules and hours may fluctuate depending on business need.

      REQUIRED EDUCATION AND EXPERIENCE:

      • High school diploma or GED
      • Minimum of one-year related experience in sales, public relations, marketing, or event planning

      PREFERRED EDUCATION AND EXPERIENCE:

      • Bachelor’s degree
      • Previous experience in resort operations
