      Overview

      Opportunity: Event Coordinator

      To provide efficient and accurate administrative and coordinator support for event planning functions in support of property sales leaders.

      Essential Job Functions

      • Serve as meeting planning advocate and liaison to all operational departments.
      • Prepare detailed resumes for groups prior to arrival and review resumes and banquet event orders (BEO’s) during weekly meetings.
      • Ensure all site inspections and client visits to the hotel are successful by planning and communicating accurate details in advance to all departments.
      • Coordinate and verify all aspects of conferences to include but not limited to food and beverage, banquet set-up, room requirements such as: lighting, temperature, AV equipment and internet, entertainment and leisure activities, billing, décor and other duties to meet client expectations and hotel standards.
      • Work to continually improve Guest Voice scores through establishing good rapport with the client and being readily available for the guest during conferences.
      • Conduct formal pre and post conference meetings when agreeable with the client.
      • Ensure banquet event orders are accurate and provide all relevant information to departments in a timely manner.
      • Maintain knowledge of departmental revenue and up sells as opportunities become available.
      • Partner with operational team to identify and resolve issues for all groups to ensure customer satisfaction.
      • Follow sustainability guidelines and practices related to HHM’s EarthView program.
      • Perform other duties as requested by management.

      Position Requirements

      • High School diploma or equivalent preferred.
      • Previous hotel or sales experience preferred, but not required.

      Work Environment and Context

      • Work schedule varies and may include occasionally working on holidays, weekends.
      • Required to sit for extended periods, lift up to 10 pounds, bend, reach, use hands and fingers to operate keyboard.
