      GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

      The Special Events team at The Met produces over 350 mission driven and revenue generating events annually of various size, scope, and scale. As the Events Producer for the Auditorium and Conference Room Rentals, you would report to the Head of Special Events and be responsible for the coordination and production of all logistical aspects for rental events in the Grace Rainey Rogers Auditorium and The Ruth and Harold D. Uris Center for Education, as well as the internal events within your portfolio.

      PRIMARY RESPONSIBILITIES & DUTIES:

      • Oversee venue rentals and related event operations for the Grace Rainey Rogers Auditorium and The Ruth and Harold D. Uris Center for Education including screenings, presentations, lectures, performances, meetings and conferences.

      • Manage venue inboxes and responding to client inquiries, calendar vetting and booking in consultation with The Met’s master calendar, generating estimates, executing contracts and invoices, liaising with Counsel on negotiations, managing client’s expectations on venue needs leading up to and during events (load-in/out logistics, security escorts, advising on capabilities of in-house facilities, and curatorial or building approvals), and final billing post-event.

      • Manage a portfolio of internal events from booking to completion including liaising with the host departments on event planning processes, booking dates, coordinating vendor proposals in adherence to budgets, drafting floor plans, securing necessary approvals, and overseeing day-of event execution onsite.

      • Partner with internal stakeholders (such as Security, Buildings, LiveArts, Education, Media Services) and external vendors to manage the production aspects of events including A/V, décor elements, entertainment, and catering. This would include vetting dates, event details, and reviewing and approving client plans and vendor proposals with relevant internal stakeholders.

      • Facilitate Museum wide communications on event details including the event write-up, production schedule, floor plans, and vendor information as well as circulating any updates as needed leading up to the event and onsite.

      • Update and maintain venue promotional materials for the auditorium and conference rooms including the brochure and website.

      • Develop budgets and income projections for auditorium and conference room venue rentals, as well as identifying strategic goals and challenges in meeting annual targets.

      • Other event duties as assigned.

      REQUIREMENTS & QUALIFICATIONS:

      • BA degree or relevant experience required

      • Demonstrated experience in managing high-profile events, preferably in a Museum setting

      • Excellent interpersonal, organizational, communications, and writing skills

      • Very strict attention to detail

      • Outstanding problem-solving skills

      • Business development and event sales experience

      • Ability to work well in a fast-paced ever-changing environment

      • Ability to be onsite for events and to lift up to 20 pounds as needed

      • Availability to work early and/or late hours, long days, and on weeknights and weekends based on the events schedule

      • Experience drafting detailed communications, such as briefing forms and production schedules

      • Computer literacy and knowledge of data management software (Microsoft Office, Artifax or other calendar software) required

      COMPENSATION RANGE:

      • Pay Range: $90,000.00 - $95,000.00 / Annually

      Location Requirements

      At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
