      The Ministry of Transportation and Infrastructure’s Integrated Transportation and Infrastructure Services (ITIS) Division provides cross-ministry planning, engineering and property services and oversees major infrastructure projects.
      Our work includes:

      • Leading integrated planning, goods movement and land strategies across ministry and with partners
      • Establishing innovative, sector-leading planning, design and engineering practices
      • Providing engineering services and standards
      • Advancing and delivering major infrastructure projects and act as the principal liaison with TI Corp
      • Managing the ministry’s Transportation Investment Plan
      • Managing the ministry’s property portfolio


      The Executive Administrative Assistant provides secretarial and administrative services to the Assistant Deputy Minister (ADM). This position involves managing the ADM's calendar, screening communications, coordinating meetings and events, handling travel arrangements, and performing financial tasks such as invoice reconciliation. Additionally, it includes drafting and proofreading documents, maintaining records, supporting administrative systems, and providing backup to the Manager of Division Operations.

      Job Requirements:

      • A minimum of Grade 12 education; AND
      • A minimum of three years administrative experience. Administrative experience must include a combination of all of the following:
        • Experience managing multiple priorities while working with a high degree of independence, under limited direction, in a senior management/executive office.
        • Experience providing administrative support services including calendar management; completing complex travel arrangements; managing meeting logistics, including facilities and catering.
        • Experience working in a confidential capacity; coordinating, tracking, monitoring, and responding to program issues, initiatives, and projects.
        • Demonstrated experience with excellent oral and written communications including formatting and proofreading a variety of documents.
        • Working experience with MS Office suite (MS Outlook, Word, Excel, Teams, PowerPoint, OneNote).
        • Experience using initiative, sound judgment, tact and diplomacy to independently resolve issues and make decisions.
        • Experience developing and maintaining administrative systems, procedures and standards including executive correspondence, templates and records management.


      Preference may be given to applicants with one (1) or more of the following:

      • Experience working with senior executives (Executive Director or above or equivalent).
      • Experience with electronic file tracking systems (i.e.: CLIFF, Sharepoint and eApproval systems or similar systems).
      • Experience with a records management system (i.e.: ARCS/ORCS, TRIM or similar systems) and LAN management.


      Proviso

      • Occasional travel may be required.

      About this Position:
      This is an eighteen (18) month temporary opportunity. This opportunity may be extended or become permanent.
      This position is located in Victoria; Coquitlam, Kamloops and Prince George may also be considered
      Flexible work options are available; this position may be able to work from home up to two (2) days a week subject to an approved telework agreement.
      An eligibility list may be established for future permanent and/or temporary opportunities.
