- 3-5 years of progressively responsible executive-level assistant experience.
- Extensive experience in scheduling complex meetings involving multiple participants
- Strong organizational and leadership skills to solve complex issues. Must communicate well and build and maintain a climate of trust. Must interact and negotiate in a professional manner with a variety of highly influential entities, the Chancellor and UCSF Health Leadership, major donors/members of the UCSF Foundation, Congressional and Legislative offices, UCOP, Deans, Department Chairs, Chiefs of Ambulatory Practices, Faculty, and Department and Clinical Managers
- Ability to perform increasingly challenging administrative tasks within a complex organization with minimal supervision
- Broad knowledge of UCSF Health operations, politically astute and organizationally savvy to confidently represent Administration
- Demonstrated ability to be proactive; apply and implement creative solutions to complex problems
- Ability to exercise good judgment to identify and handle sensitive and confidential issues and assignments with discretion.
- Excellent interpersonal skills essential as well as excellent writing skills
- Must be well organized
- Proficiency PC Microsoft Word, EXCEL, PowerPoint Outlook and Visio are essential
- Advising and counseling skills
- Advanced service orientation
- Knowledge of medical center, campus or other academic medical center setting
Job Summary
Hybrid Opportunity: In-person presence required 2 times per week, remainder can be done remotely.
Note: There will be a potential occasional need to be present at BCH in Oakland and at our Parnassus campus.
The duration of this temporary role is 4 months in duration.
Provides Project Management and senior-level support to the Executive(s). Provides administrative oversight for executives, including the coordination of communications and pertinent data. Performs and/or oversees special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation. Handles details and oversees work of a highly confidential and critical nature to support the executive on matters of significance.
Responsible for managing, planning and high-level projects and system-wide initiatives in support of UCSF Health. Responsible for resolving complex and sensitive issues while remaining responsive to the varied and changing priorities of a high profile, dynamic and demanding environment. Under minimal direction, provides all assistance required. Manages responses on behalf of the executive to requests and inquiries from Campus and external constituents. Serves as a resource in response to concerns and/or questions that arise in the absence of the executives. Such concerns/issues are most often of a non-routine nature, requiring research, independent judgment and/or innovation to resolve. Must maintain a solid working knowledge of the organization, personnel, mission, and functions of departments which report to the executives and be able to respond to issues effectively and with minimal guidance. This is a high-level administrative position that functions with a high degree of autonomy, advanced service orientation, and attention to detail.

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment.
