Job Description

- Maintain confidentiality of information, department activities, projects, materials and exercise discretion when responding to daily inquiries about executive and management team.
- Act as a departmental information resource, effectively responding to phone calls and emails from both internal personnel and external customers.
- Maintain work calendars for the executive and senior leadership where requested.
- Schedule, plan, prepare and execute various onsite and offsite meetings on behalf of the executives and management team.
- Manage travel accommodations and expense reporting for executives and management team as requested.
- Prepare and coordinate onboarding of new CED sales & marketing employees to include training, hardware, software, workspace, Graco apparel, demo supplies, business cards and other essentials.
- Manage the departure process of CED sales & marketing employees leaving Graco to assure all company assets are secured.
- Prepare and maintain invoices, division organizational chart, distributor distinction awards and annual sales awards.
- Enter new accounts in Sales Information System (SIS) and send welcome information.
- Maintain distributor information including terminations, address and class changes in SIS.
- Proactively order, organize and distribute office supplies and internal mail.
- Additional duties as assigned.
- 2 plus years of post-secondary education
- 4 plus years of administrative experience providing support to management
- Strong computer skills including Microsoft office suite products
- Demonstrated ability to effectively prioritize multiple work assignments; function from broad sets of work instructions; and communicate with all organization levels
- Excellent organizational skills
- Ability to prepare executive / board of directors level presentations, materials, and collateral communications both timely and accurately
- Previous executive administrative assistant experience
- Experience utilizing Salesforce software, MS365, and ORACLE iExpense
- Accounting and/or Marketing/Sales support experience
- Organizing large group visits and events whether they be internal or external groups (30+ people)

Job Purpose
The Executive Administrative Assistant provides administrative support to executives and senior management as well as support for commercial activities of the division.
