- Manage sensitive, C-level matters with a high level of confidentiality, good judgement, and discretion, especially decisions directly impacting the global operations of the company.
- Coordinate daily email and calendar management, independently resolving conflicts, clearing calendar for travel/vacation time, notating all travel details.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
- Arrange travel and accommodations for executives when needed. Prepare expense reports for CEO and other executives upon request.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment.
- Draft and prepare internal and external correspondence on behalf of executive team.
- Assist in preparing and managing presentations and decks for executive meetings and BOD meetings on a regular basis.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours being expected.
- Welcome the company and Executive Team’s guests by greeting them, in person or on the phone; answering or directing inquiries.
- Represent the company and the Executive Team in a positive light through great follow-through skills, sound judgment, and a pleasant demeanor.
- Conserve the Executive Team's time by proactively reading, researching, collecting and analyzing information as needed.
- Complete additional projects as assigned – such as organizing company events or meetings.
- Manage complex calendars and schedules; resolving any scheduling issues, and support family/ownership office matters as they arise.
- Assist in coordination of the company’s charitable giving program within the local communities in collaboration with the CEO and CHRO.
- Perform additional duties as assigned by executives, including personal errands or tasks.
- Bachelor’s Degree or equivalent work experience
- 5 or more years of senior/executive administrative assistant work experience
- Project Management certification preferred
- Excellent written and verbal communication skills
- Confidential and discreet in all matters
- Ability to function well in a high-paced environment
- Excellent interpersonal skills with individuals at all levels of the organization
- Proficient in working with Microsoft 365 products such as Word, Excel, and PowerPoint
- Attention to detail, in all aspects of the job, and a commitment to excellence
- Manage projects to completion
- Prioritize a variety of tasks
- Follow up on needed resources
- Meet deadlines and work with a sense of urgency
The Executive Assistant must be creative and enjoy working within a fast paced and dynamic environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, have strong written and verbal communication, administrative and organizational skills. Basic financial acumen, confidentiality, the ability to maintain balance among multiple priorities, exercise discretion, and the ability to maintain a realistic balance among multiple priorities is also critical.
