- Organizing and maintaining complex calendars using a high level of tact, influencing and integrity, including scheduling across multiple time zones
- Calendar management, including scheduling meetings with various colleagues internally and externally
- Coordinating logistics for meetings, including scheduling of conference rooms and technology support as required
- Preparing, reviewing, and processing expense reports, and running expense report approvals, in line with company T&E policy and budget
- Assisting with timekeeping and payroll duties
- Providing coverage for other team-based Executive/Administrative Assistants that are on vacation or sick leave
- Handling organization charts and team rosters
- Booking and coordinating travel arrangements including air and hotel bookings
- Supporting the scheduling and coordination of events, including room booking, catering, etc.
- Supporting team administration including job postings, on boarding for new hires, updating distribution lists, setting up group-wide team meetings, coordinating team real estate
- Processing of requisitions and other invoices, ordering supplies and handling ticket requests
- Experience supporting senior level executives with large and global organizations, complex calendars, and frequent travel
- Outstanding organizational, administrative, and interpersonal skills
- Keen attention to detail in execution and follow-up
- Demonstrated ability to prioritize multiple tasks and work autonomously
- Must have strong integrity, reliability, and proven ability to handle confidential / critical information with discretion
- Strong written and verbal communication
- Proficiency in Microsoft Outlook and Word
- Proficiency in expense and travel management software
- Proficiency in Microsoft Office programs such as PowerPoint and Excel

American Express Global Commercial Services (GCS) is dedicated to the success of businesses big and small with the vision to be essential to our customers’ businesses every day. GCS provides a suite of payment and lending products, solutions for travel and everyday business spending, cross border payments, global currency solutions, and business financing. We are looking for two Executive Administrative Assistants to support the Vice President of Control Management and the Vice President of Risk ID, Assessment, Testing & Reporting.
How will you make an impact in this role?
The Executive Administrative Assistants will be a critical members of the GCS and Control Management team who will provide organizational support and ensure that the team’s logistical needs are met, and help to promote a positive atmosphere and work culture. They will be seasoned and experienced in handling a wide range of administrative related tasks and be able to work independently and confidently. Building positive relationships, being resourceful and knowing how to navigate large organizations fluidly will also be critical to success in these positions.

Salary Range: $24.05 to $48.10 hourly + bonus + benefits
The above represents the expected hourly pay range for this job requisition. Ultimately, in determining your pay, we’ll consider your location, experience, and other job-related factors.
