      JOB TITLE: Executive Administrative Assistant


      LOCATION: History Center - 345 W Kellogg Blvd., St. Paul, MN 55102

      COMPENSATION: Typical starting range $19.58 - $24.47 hourly


      STATUS & HOURS: Full-time, regular (approximately 2080 annual hours) position.


      BENEFITS: Eligible to participate in State Employee Group Insurance Program and a retirement program with employer contribution. Generous vacation and sick time accruals with additional paid holidays.

      DESCRIPTION: This position manages the Executive Vice President’s (EVP) divisional office and its strategic interactions with the leadership team, MNHS employees, and the general public. This position provides professional and confidential executive support for the EVP to further advance the mission and goals of the organization.


      SUMMARY OF WORK: 1) Provides timely and confidential executive support for the EVP and EVP’s Divisional Office; 2) Manages the budget and processes financial transactions for the EVP’s division; 3) Participate in professional organizations and professional development as requested; 4) Develop positive working relationships with both internal and external constituents so that excellent customer service is provided; and 5) Work collaboratively with the EVP’s team to provide support and back-up for achieving divisional goals and objectives and to ensure the needs of MNHS staff and external customers are met.


      MINIMUM QUALIFICATIONS:

      • High school diploma or equivalent job related experience.

      • Two to three years experience as an administrative assistant or board coordinator.

      • Proficiency in Google Suite and Microsoft Office applications.

      • Communicating, both orally and written, including preparing and delivering reports and presentations.

      • Technology skills necessary to develop quality project, report, and program documentation.

      • Thinking imaginatively and problem solving.

      • Customer service and interpersonal communications skills integral to establishing and maintaining effective working relationships.

      • Multitasking, working effectively under pressure to meet deadlines, prioritizing and adapting to changing priorities.

      • Working independently and taking initiative while also being able to collaborate effectively and contribute positively in a team environment.

      • Strong analytical and organizational skills with a demonstrated results orientation.

      • Gathering data, analyzing, and organizing information into action plans.

      • The practice, methods and techniques of process improvement.

      • Proven attention to detail, accuracy, and proofreading.

      • Demonstrated organizational skills and knowledge with the ability to manage multiple assignments simultaneously.

      • Willingness to work nights and weekends as needed.

      • Willingness to travel.

      • Valid Driver’s License.


      DESIRED QUALIFICATIONS:

      • Bachelor’s Degree.

      • Previous executive office management experience.

      • Appreciation for history

      • Familiarity with the MNHS and its programs, including the MNHS charter, bylaws, mission statement and institutional goals.

      • Experience in a non-profit or public sector office environment
