- Schedule VTC meetings and manage conference room availability. This includes managing conflicting requests and understanding how to prioritize and communicate changes to stakeholders in a constantly changing, fast paced environment.
- Coordinate and schedule meetings for senior-level staff.
- Ensure conference rooms are ready for senior-level staff; ensure the room is properly set up based on classification, ensure room is clean and appears organized before and after meetings.
- Escort visitors which includes meeting visitors at the building entrance, ensuring they obtain a proper visitor badge, and bringing them to the appropriate meeting room.
- Answer phone calls and deliver messages to senior-level staff in a timely fashion.
- Coordinate and manage executive schedules in a dynamic environment, including multiple sequential meetings in classified and unclassified settings.
- Attend, participate, and provide minutes for staff/leadership meetings.
- Assist staff with corporate business systems, such as the Foreign Travel Management System, Concur travel, Learning Nucleus, eDocs, and SharePoint.
- Prepare all new employee materials to include welcome packages and completion of required paperwork for incoming, outgoing, and transferring front office personnel.
- Coordinate logistical requests.
- Manage onboarding and offboarding for Defense Programs personnel.
- Work in a team and network of professionals to ensure cohesion and alignment throughout the larger organization.
- Support proper electronic file organization and records retention, in alignment with the Defense Programs' Records Management Standard Operating Procedures.
- Communicate and interact with diverse teams of people across a large national security organization.
- Active DOE Q or DoD Top Secret security clearance (SCI preferred).
- High School diploma (Bachelors degree preferred).
- 5+ years of professional experience in a similar role , demonstrated clearly on your resume; experience working in a front-office.
- Experience working in a high-stress environment.
- Proven record working on a team with personnel at various levels of seniority.
- Excellent interpersonal, verbal, and written communication skills.
- Keen organizational, detail-orientation, and administrative skills; demonstrated ability to manage conflicting requests.
***Must have an active DOD Top Secret or active DOE Q clearance. Active, meaning the individual granted a clearance is briefed and currently occupies a position for which the clearance is required.***
Leidos is hiring a full-time Executive Administrative Assistant with strong logistics experience to support the Department of Energy (DOE)/National Nuclear Security Administration (NNSA), Office of Defense Programs. You will be an important member of the Defense Programs front office team and have the opportunity to engage regularly with senior NNSA leadership and personnel from across the entirety of Defense Programs. You will manage daily operations in a dynamic and highly engaging team setting. Your central responsibility will focus on managing and deconflicting classified conference rooms including classified video teleconferencing (VTC) scheduling, room set up, and opening and closing duties. You will escort visitors to Defense Programs rooms, including senior leadership from other agencies. You will provide other executive administrative support as needed, working closely with other front office administrative assistants and staff, to ensure continuity of support for senior executives.
You will work onsite daily at the DOE Headquarters Forrestal Building, located in Washington, DC. After training, there is an opportunity for one day per week of telework.

Pay Range:
Pay Range $67,600.00 - $122,200.00The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
