WHO YOU ARE:
You are a highly motivated and detail-oriented Executive Assistant I that will support the Risk & Security Management (RSM) and Cybersecurity Departments within the Business Operations Division. This role is ideal for a proactive, collaborative problem solver who thrives in a fast-paced environment and excels at providing administrative support to executive-level staff. You have exceptional communication skills, strong organizational abilities, and the capacity to effectively multi-task.WHAT YOU WILL DO:
The Executive Assistant I performs complex (journey-level) professional assistance work for the Directors in RSM and Cybersecurity. Work involves coordinating high-level administrative operations to include, managing calendars, routing email traffic, scheduling meetings, and making travel arrangements for staff. May provide guidance to others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.YOU WILL BE TRUSTED TO:
- Provide highly responsible administrative and technical assistance.
- Respond to complex inquiries regarding program or administrative regulations, policies and procedures.
- Compile, prepare, verify, process, and maintain confidential agency documents, complex correspondence, reports and forms.
- Assist in compiling and analyzing data and reports.
-Complete and submit travel forms for travel approval and reimbursement.
- Advise and assist on high-level administrative matters and operations.
- Interpret policies and procedures and make administrative recommendations and decisions.
- Manage the Directors’ schedule to include calendar appointments, conferences, and travel activities.
- Coordinate meetings and conference calls.
- Organize and maintain administrative filing system.
- Develop and maintain tracking process for departmental assignments, special projects, assigned action plans, and legislative inquiries.
- Monitor the progress of assignments and ensures that deadlines are met. Coordinates work between department units and managers.
- Review, proofread, and edit department correspondence and documents.
- Oversee or perform support staff functions including human resources management, purchasing, time distribution reporting, and assistance with budget preparation.
- Perform other duties as assigned.YOU QUALIFY WITH:
- Five years of full-time experience in a responsible position which provided thorough knowledge of agency programs and services; business management practices, clerical administration and procedures; or experience in organizing and coordinating support services or program operations which included analyzing work problems and interpreting complex policies and procedures.
