      Position Overview:

      As the Executive Assistant, Information Technology, you will be vital in ensuring efficient time management for the Chief Information Technology Officer. Duties include organizing meetings, events, and appearances for internal and external team members. The ideal candidate has demonstrated leadership skills, strong administrative organization, advanced communication skills across departments, and the ability to establish credibility at all levels of the organization. This role will act as a brand ambassador, representing the core values of Dutch Bros both internally and externally. The Executive Assistant, Information Technology will be familiar with and comfortable operating in a fast-paced, dynamic environment. This position will serve as a strategic partner to the CTIO and will be integral to supporting the management of the IT leadership team. Additionally, they will manage budgets and generate status reports for department projects, ensuring adherence to schedules and goals. This role may require occasional travel and flexibility in working hours.

      Job Qualifications:

      • Bachelor’s Degree in a relevant field or equivalent experience, required

      • Minimum of 7 years of experience performing comparable, high-level duties, required

      • PMP certification and Board of Director experience, preferred

      • High degree of maturity, discretion, understanding of confidentiality, and integrity

      • Advanced knowledge of MS Office applications, including Word, Excel, and PowerPoint

      • Experience using Project Management software, Google Suite, Zoom, preferred

      • Availability to travel: 10%-25%

      • This position requires driving, when necessary

      Location Requirement:

      This role is located in the Greater Phoenix area. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days.

      Key Result Areas (KRAs):

      Provide comprehensive support to the CTIO and IT leadership team in managing daily activities. This includes calendar management, travel arrangements, meeting preparation, and correspondence:

      • Effectively manage the CTIO’s time by coordinating their daily calendar to ensure efficiency in their schedule

      • Coordinate complex and detailed travel arrangements in an accurate and timely manner

      • Support the CTIO and IT leadership team in preparing information for presentations, assisting with industry research, as needed

      • Plan agendas and meeting cadence for the IT leadership team to ensure timely discussions of department initiatives and strategic objectives

      • Handle the general administrative functions, which include but are not limited to: ordering supplies, making copies, scanning, arranging courier service, handling incoming/outgoing mail and packages while assisting with special projects as needed

      • Oversee and support activities such as office moves and assist in the onboarding of new leaders to the IT department

      • Ensure the IT leadership team has a comfortable environment in which to work when under high-pressure, time-intensive, and fast-paced activities. This may include organizing meals, providing transportation, delivering products, etc

      • Represent and communicate accurately, with a high level of professionalism and confidentiality to internal and external constituents

      Provide management, monitoring, and communication of projects and programs for the CTIO and IT leadership team to include budget management:

      • Track team expenditures and budget items; provide bi-monthly budget updates to team leaders while also ensuring items requiring approval or signature have the necessary documentation and approvals

      • Prepare and manage status reports for department projects, keep track of deliverables, launch dates, and deadlines

      • Effectively and efficiently handle multiple and competing priorities, collaborating with stakeholders at all levels

      Collaborate with the CTIO and the IT leadership team with strategic planning initiatives while ensuring the alignment of executive activities and organizational goals:

      • Work with the IT leadership team to design processes in developing and creating initiatives to deliver on goals and priorities across the team

      • Maintain initiative and cross-functional alignment towards company goals

      • Provide direct support to the IT leadership team, particularly in ascending business planning goals

      • Set up and coordinate business planning meetings to support team efficiency

      • Work with IT leaders to ensure that teams meet targets and timelines

      • Identify opportunities to improve business practices and processes to maximize resources and achieve operational excellence

      • Provide honest and thoughtful feedback to the CTIO as an advisor/thought partner

      Collaborate with Chief of Staff (“COS”) to the CEO and the Executive Support team:

      • Actively engage with the executive support team led by COS to the CEO to improve overall outcomes of the organization

      • Cover for peers on the executive support team when they are on leave - and secure own coverage when on leave

      • Collaborate and work with the COS to CEO to ensure strategic priorities are properly aligned and executed for the IT department

      Physical Requirements:

      • In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions

        • Must be able to collaborate in-person with occasional impromptu in-person meetings

      • Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels

      • Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds

      • Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.

      • Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.

      • Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.

      • Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.

      • Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.

      Compensation:

      $92,996.55 - DOE
