- Support at least two C-Suite Executives with day-to-day tasks, general administration, schedule management, and special projects.
- Provide back-up assistance to the President and Chief Executive Officer when their Executive Assistant is out of the office.
- Manage competing priorities with multiple calendars and coordinate executive schedules ensuring calendars are up to date at all times.
- Arrange and coordinate Board Committee meetings, including scheduling, hospitality, coordination of meeting materials, sending reminders & tracking attendance, and preparing meeting minutes. This role supports the Development and External Relations, Governance, Finance and Investment, and Governance Committees.
- Schedule and coordinate individual and group meetings.
- Occasionally arrange travel (flights, hotel, ground transportation), update calendars, compile trip itineraries when necessary.
- In collaboration with the Chief Development Officer, support the cultivation and stewardship of donors including but not limited to drafting regular correspondence and planning events and meetings.
- Assist CDO in managing internal communication and prioritization. This includes organizing and filtering email and messages, flagging and managing action items and tasks, and following up with key stakeholders as needed.
- Perform office management functions to help support successful in-office work at YWCA Midtown.
- Manage on-line file storage.
- Prepare communications as well as proof and edit a wide variety of documents – including Word, Excel, PowerPoint presentations, agendas, reports, special projects, and more.
Salary- $26-$28
JOB SUMMARY:
The Executive Administrative Assistant will provide high-level administrative support to C-Level Executives. Reporting directly to the CDO and CFOO, the Executive Administrative Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Administrative Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

This position reports to the Chief Development Officer and the Chief Financial and Operating Officer, who both report to the President and Chief Executive Officer. Critical relationships will include: Executive Assistant to the CEO, Senior Leadership team members, Board of Directors, and volunteers.
