Community and Continuing Education - Providing administrative support to the Assistant Superintendent of Academic Services. As an employee on the frontlines of correspondence with community stakeholders, the assistant will work to create a welcoming environment in communications with students, faculty and families, treating all with confidentiality, fairness, dignity, and respect.
- Assisting the Assistant Superintendent of Academic Services with high ability systems, which includes tracking and maintaining the annual high ability budget, ordering supplies for WT educators of HA instruction, organizing contracts and requests for professional development, and sending correspondence/testing results to families.
- Processing districtwide expulsion, which includes smartsheet data, receiving and processing signatures for appropriate forms, attend expulsion hearings to record and ensure all parties are present, send all documentation to the expulsion examiner and parent/families, and work through expulsion examiner invoices.
- Assessing urgency of requests and connecting individuals with appropriate resources in a timely manner.
- Providing clerical support including but not limited to; writing letters, preparing responses to correspondence, creating meeting agendas, developing flyers, supporting social media platforms, track grants and budgets, and maintaining minutes.
- Providing technical support including but not limited to; managing the calendar for the Assistant Superintendent of Academic Services, scheduling meetings and room reservations, devising reports and spreadsheets to track departmental data, answering all incoming calls, typing, word processing, entering data, mailing, filing, copying and preparing materials for distribution.
- Assisting with event planning and travel arrangements as necessary and keeping all snacks and drinks stocked and ready for use.
- Ordering and maintaining office supply inventory and distributing mail.
- Prioritizing the office workload and working collaboratively with colleagues to meet assigned deadlines.
- Creating and maintaining lists including faculty and staff lists, telephone numbers, extensions, room assignments, calendars, activities, birthdays, recognitions, celebrations, making and posting directional signs.
- Supporting CEC administrators with any assigned tasks.
- Support social emotional learning coaches, which could include the creation of meetings on Vector PD, ordering supplies for schools, creating and sending forms for stipends, and supporting professional development needs (e.g., handling contracts, registering for conferences, etc.).
- Assisting with state and federal reporting requirements related to academic services, ensuring accuracy and timely submission with the Federal and State Grants Department
- Greeting and welcoming visitors to CEC with professionalism and warmth, including determining the purpose of their visit, notifying appropriate staff members of their arrival, directing them to meeting locations, and ensuring all guests receive prompt and courteous attention that reflects the district's commitment to positive community relationships.
