      This position is responsible for coordinating administrative support to the Director of Aviation and Leadership Team of the Patrick Leahy Burlington International Airport. This position will be an integral part of the department's leadership team to maintain and enhance the effectiveness, good order and efficiency of the department. The functions of this position require developing/ having deep knowledge of commercial aviation administration, as well as intimate knowledge of the City's policies and procedures. This position will be responsible for conducting confidential inquiries on behalf of the Director of Aviation and issuing departmental statements on behalf of the Director.

      Remote Tier : Zero (0) Days remote/week
      • Provide administrative support for Board meetings, and other public boards, committees and events. This support includes, but is not limited to, compile and prepare agendas; schedule meetings and meeting spaces; warn meetings; record, transcribe and distribute minutes; assure follow-through to meeting issues; maintain records and files; assist in developing and disseminating outreach materials, publicity and signage plans; facilitate communication with other City Departments.
      • Type a variety of correspondence, memos, self-composed letters, minutes, reports, agendas and legal documents. Assemble materials and coordinate office functions to meet deadlines. Coordinate time, location and participant arrangements for meetings; arrange travel and accommodations as required.
      • Maintain schedules/calendars, make appointments, answer telephone, screen calls, refer calls, take messages or handle and coordinate meetings for Director of Aviation.
      • Open, review and prioritize mail.
      • Perform administrative duties in support of the department functions.
      • Maintain Office digital files and digital filing system.
      • Schedule Director of Aviation's appointments, employing discretion in committing time, or refer callers to appropriate source of information or service.
      • Maintain confidential information regarding departmental matters; record actions to be taken on sensitive matters; release information to authorize parties, attorneys, or the press.
      • Act as liaison between the Director of Aviation and staff, the public, airport stakeholders, media, local, state and federal offices. This includes, conducting correspondences via electronic, phone and in-person means.
      • Assists airport director, [NL1]staff, and consultants to develop annual marketing program detailing objectives, strategies, programs and budgets.
      • Compile market research as it relates to air service, passenger demographics and other related topics.
      • Answer questions relating to researched information and relay explanations of policies, procedures and legal requirements; refer matters requiring policy decisions to the Director of Aviation.
      • Compile information for narrative, fiscal and statistical reports, determine appropriate report format. May contact officials, staff, or stakeholder agencies to secure data.
      • Manage and assist in the implementation of selected projects and innovations on behalf of the Director of Aviation.
      • Facilitate the issuance of statements to the media on behalf of the Director of Aviation.
      • Work closely with airport staff, airport stakeholders, and officials to ascertain information about critical matters for the purpose of briefing the Director of Aviation and the Leadership Team.
      • Respond to public requests for information, resolve complaints, inaccuracies in documentation, or other situations requiring diplomacy and tact.
      • Update Patrick Leahy Burlington International Airport Website and Intranet sites as needed.
      • Performs other duties as required.
      • Ability to actively support City diversity, equity, and cultural competency efforts within stated job responsibilities and work effectively across diverse cultures and constituencies.
      • Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.
      • Completion of Bachelor's Degree in Business Administration, Communications, or related field, and two years’ experience preferred; or an Associate's Degree in Business Administration, Communications, or related field and three years’ experience; or a high school diploma or equivalent and five years’ experience in an office environment as an Executive Administrator required.
      • Demonstrated knowledge of departmental policies, procedures and legal requirements preferred. Ability to manage and implement airport administration projects of moderate complexity.
      • Ability to obtain a Patrick Leahy Burlington International Airport Security Identification Display Area (SIDA) badge, which includes a 10-year fingerprint based criminal history records check, a security threat assessment check and a written exam within one (1) month of employment or less and maintain badge privileges throughout employment.
      • Ability to issue accurate and concise statements in written and oral form to staff, the press and the public.
      • Ability to learn specific laws, ordinances, codes and regulations applicable to the operations of the Airport and City.
      • Ability to research records pertaining to City Council and other documents related to City business.
      • Demonstrated advanced working knowledge of multiple software office products, including Microsoft word and excel, access, Power point preferred.
      • Ability to plan, develop and implement office procedures and make decisions on priority and scheduling of work.
      • Ability to work in a team environment, while also being self-directed.
      • Ability to obtain and maintain a valid driver's license.
      • Ability to adapt to changing job duties and be able to multi-task.
      • Ability to assume administrative responsibility and carry out tasks with minimal instruction. Ability to plan, organize and coordinate workload.
      • Ability to display excellent verbal and written communication skills.
      • Ability to interact well with the public.
      • Ability to work evenings, weekends, special events, and holidays as required.
      • Ability to attend meetings at times other than regular business hours.
      • Regular attendance is necessary and is essential to meeting the expectations of the job functions.
      • Ability to understand and comply with City standards, safety rules and personnel policies.
