- This position is not covered by the Partnership Agreement between the State of Colorado and Colorado Workers for Innovative and New Solutions (COWins).
- New employees to the State will be paid biweekly. There are 26 biweekly pay periods in a year.
- Manage the Executive Director’s calendar and daily schedule; receive and approve requests for appointments, speaking engagements, conferences, etc. for the Executive Director, working closely with the Chief of Staff, Deputy Executive Director, Senior Advisor/Public Information Officer, and other executive staff; coordinate multiple schedules to ensure desired internal and external attendance at various meetings and events.
- Work closely with the Executive Management Team members to prioritize meetings and events for the Executive Director's participation; reschedule meetings on short notice based on changes in priorities and ensure appropriate communication with participants.
- Gather agenda items and take meeting notes; prepare documents and packets for review and approval for meetings; ensure meeting participants have all necessary materials and files prior to/during the meeting.
- Make travel arrangements for executive staff for meetings, conferences, events, etc.; prepare expense reports to reimburse personnel for travel required to perform their work or receive required training.
- Support statewide events and meetings requiring occasional overnight travel and evening work.
- Provide administrative support for the Executive Office including answering phone calls; writing correspondence; handling mail, email, and deliveries; monitoring the budget for the office, making notifications, etc.
- Write, review, and finalize reports, policy papers, proposals, and summaries for the Executive Office.
- Prepare presentations and remarks for public meetings.
- Establish and maintain effective working relationships with the Executive Management Team, Transportation Commissioners, CDOT staff, other agencies, and customers.
- Represent the Executive Director and CDOT through proper communications and relations with the general public, CDOT staff, legislative staff, Transportation Commissioners, the Governor's Office, and others.
- Assist with managing special projects, including planning the scope of work, establishing timelines, assigning tasks, producing output, monitoring progress, and then evaluating and presenting the final product to the Executive Management Team.
- Maintain a general understanding of CDOT priorities, strategic direction, and organizational structure.
- Participate in highly sensitive and confidential issues and must maintain confidentiality.
- Maintain a flexible and positive attitude and be a problem solver.
- Other job duties as assigned.
- Primarily 8:00 am – 5:00 pm work hours, Monday-Friday, but flexible and centered on the Executive Director’s schedule.
- May be required to work evenings and weekends on an as-needed basis.
- Occasional travel to meetings, presentations, and training.
- Politically sensitive environment requiring confidentiality.
- It is preferred that incumbent be in the office at least four days a week with the option of working remotely one day a week. Such a hybrid arrangement will be evaluated quarterly to assure business needs are being properly met.
- At least four years of policy and legislative experience or administrative or program support experience.
- A bachelor's degree from an accredited college or university.
- Required to protect, assure the integrity, and maintain the confidentiality of any confidential or sensitive information or documents that are necessary in the course of your work, or that are inadvertently heard or seen. - Experience working in a government setting.
- Experience managing a senior executive’s calendar with competing priorities,
- Familiarity with theories, principles, and best practices of public administration, government relations, and communications.
- Ability to work under tight deadlines and be adaptable to changing assignments.

This is not your traditional Executive Assistant position - it is a great opportunity for someone interested in transportation development, public policy and/or politics. This at-will, non-classified executive program assistant position provides professional and administrative support to CDOT’s Executive Office, directly serving the Executive Director and working closely with the Chief of Staff and other senior executives. You will manage the Executive Director’s dynamic and complex daily calendar and travel schedule, ensure participation from appropriate stakeholders at meetings and events and prepare materials and background information on various policies and projects. A high level of professionalism and confidentiality are required as well as excellent customer service, a positive attitude, and flexibility. This position will participate in development of presentations and remarks, set up and run tech for meetings and events, and research public policy to help inform executive decisions. This position also provides administrative support to the Executive Office by handling scheduling, phone calls, emails, correspondence, meetings, event planning, travel arrangements, expenditures, etc.
