- Provide project management for all exhibition and collection catalogs, brochures, and other special projects as assigned. Responsibilities include drafting budgets, convening and chairing meetings, producing production schedules, following up on deadlines, and materials, and providing project coordination to ensure that printed elements are published on time and budgets are not exceeded.

- Manage the publication schedule in collaboration with the Head of Exhibitions and Publications.
- Liaise with internal and external stakeholders to ensure that exhibition and publication project status is monitored regularly, all deadlines are met, and/or contingency plans are executed.
- Draft contracts with outside partners and contractors for exhibitions and publications, including but not limited to artists, venues, curators, designers, editors, indexers, proofreaders, translators, authors, contributors, printers, prepress firms, co-publishers, and distributors.
- Distribute publications to staff, and mail out copies to authors, venues, lenders, and other contributors in accordance with all agreements.
- Develop and manage exhibition and publication budgets by project, in coordination with the Head of Exhibitions and Publications and Exhibitions and Publications Coordinator; process invoices, track payments; and re-forecast expenses as needed.
- Serve as primary liaison with the Museum Store, Experience Team, and IT staff to promote Museum publications via the Store, website, and other areas.
- Oversee onsite and offsite inventory of publications, arrange for the storage of remaining publications, and remainder inventory as needed in consultation with the Head of Exhibitions and Publications.
- Apply for ISBN, Library of Congress Control Number (LCCN), permissions, grants, and copyrights as required for all applicable publications.
- Maintain accurate computer files for Publications and Exhibitions, using Museum file naming conventions, Teams, SharePoint, TMS, and backup systems to maintain and archive records
- All other duties as assigned.
- Bachelor’s degree required.
- Minimum of two years' experience working in an office environment.
- Strong administrative, project management, multi-tasking, problem solving, and analytical skills, including the ability to work proactively, and perform detail-oriented work with accuracy.
- Excellent written, verbal, and interpersonal skills for interacting with colleagues.
- Excellent computer skills with Office 365 applications, particularly Word and Excel. Experience with Teams, Planner, and TMS a plus.
- Interest in fine art and Art History, a plus.
- Experience in general museum practices, and accounting a plus.
- Knowledge of editorial English usage, grammar, punctuation, spelling, editing symbols and proofreading a plus.

The DMA will:Scope of Position
In collaboration with the Head of Exhibitions and Publications and the Exhibitions and Publications Coordinator, this position will ensure the delivery of all museum publications and brochures in alignment with deadlines and budgetary resources. This position serves as liaison and has direct oversight of outside contractors, editing, proofreading, and translating texts, and designing and producing books, brochures, and other printed matter. This role will manage the museum’s publication inventory. The role will also serve as a project manager on select exhibition and permanent collection activities, manage the tracking and distribution of exhibition proposals and venue packets, the CEI department ledger and invoicing, and provide administrative assistance to the Exhibition Management sub-team and Director of Collections, Exhibitions, and Interpretation.
