- Develop and maintain a process for site visits with the aim of site and preceptor development
- Maintain the learner dashboard, review and report data in Exxat
- Review clinical year data from Typhon and other program-adopted databases
- Perform database troubleshooting, updates and redesign as needed
- Train clinical year faculty in database use
- Collaborate with the OHSU office of learner placement to develop and maintain clinical rotation sites.
- Assist in updating and maintaining the preceptor handbook.
- Maintain and send out PA Preceptor CME credits
- In collaboration with hub coordinators and the director of clinical education, develop and disseminate preceptor development and retention resources.
- Assist in managing the clinical rotation schedule throughout the year; respond as necessary, implement changes as needed and as appropriate.
- Develop Clinical Practicum course placements for first-year students.
- Coordinate assignment of course numbers for SCPE courses and assist course instructor with grading for the Office of the Registrar.
- Develop and maintain student, preceptor and mentor, contracts, and housing files.
- Act as a program liaison to OHSU Contracts office (working with Data Analyst II), area hospitals and rotation/mentorship sites in order to create and maintain temporary hospital privileges and affiliation agreements for student rotations.
- Develop and maintain comprehensive information regarding clinical rotations.
- Provide administrative support to the Director of Clinical Education, Director of Experiential learning and Regional Coordinators.
- Serve as administrator for Sakai document management software.
- Create yearly preceptor feedback reports.
- Assist in recruitment of new preceptors and mentors and development of existing clinical sites and preceptors.
- Participate in the regular evaluation of established rotation sites.
- Administrator for the Primary Health Care Loan Forgiveness Program and Rural Track.
- Educate and advise students within the program.
- Manage the application process and timeline.
- Monitor the curricular elements with rural focus that are specific to the program.
- Review applications for TCC rotations in Alaska and set up logistics as needed, including coordination for student funding reimbursement.
- Participate in development of clinical education policies.
- Upload updated Student Handbook to Sakai
Five years of experience with responsibility for program or project monitoring and coordination. The experience must have included program evaluation responsibility.
A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
Note: preference may be given to individuals with experience in a specialty area specific to the position opening.
- Prior work experience and proficiency in creating and manipulating queries, reports and forms in Microsoft Access; use of Access in conjunction with other Microsoft Office programs.
- Strong administrative experience.
- Ability to work independently with little supervision.
- Ability to prioritize multiple projects and meet deadlines.
- Intermediate knowledge of and proficiency with word processing, spreadsheet, database, e-mail and calendaring software
- Ability to learn new software programs quickly. Keyboarding speed 60+ wpm.
- Excellent oral and written communication skills, and ability to communicate professionally with students, health professionals, faculty, staff and the public
- Highly organized, detail-oriented, able to work independently, prioritize and demonstrate initiative in a fast-paced environment
- Prior experience in an academic setting strongly preferred.

Department Overview
The OHSU Physician Assistant Program, located in Portland, Oregon, is a 26-month full-time master's level program, ranked among the top five programs in the nation.
As the Experiential Learning Coordinator (Program Technician 2) will be responsible for the execution and performance of the clinical and professional development programs of the Division of Physician Assistant Education.
In order to meet the requirements of a growing and diverse PA student body, the candidate will lead efforts to grow and maintain clinical rotation sites across Oregon.
The Experiential Learning Coordinator, represents the Division of Physician Assistant Education programs to internal and external preceptors, agencies, and stakeholders. Position supports policy development, systems and process development, and compliance with ARC-PA Accreditation standards and program-defined expectations.
Manages approximately 420 rotations annually. Develops and maintains relationships regularly with over 150 preceptors, mentors and site representatives in Oregon, Washington and Idaho. Manages the housing portal and approximately 135 placements annually. Primary liaison to 84 students annually, plus 42 additional students during two-month overlap, planned to increase over the next several years.
