      The Opportunity:

      Multnomah County’s Facilities and Property Management Division (FPM) is seeking a Facilities Project Assistant (Facilities Specialist 1) to join the Library Capital Bond Program team in a limited duration assignment. Limited Duration Assignments (LDA) are expected to last up to two (2) years, but may end sooner. This position plays a vital role in supporting project managers during all phases of project planning, design, construction, owner occupancy activities, and close out.

      The Facilities Project Assistant will coordinate furniture, fixtures, and equipment installation, track project budgets and schedules, and support project managers with occupancy activities and project close out. The ideal candidate will have some project management experience, strong communication skills and experience working on project teams. You should have great organization and time management skills, be self-driven and have the ability to collaborate with multiple internal and external stakeholders on a variety of projects.

      Essential Job Duties:

      • Provide support to project managers for project development, planning, design, construction, and close out.

      • Assist with onsite verifications of equipment and layouts.

      • Track information for project budgets and schedules.

      • Gather project planning information from various sources including existing databases, online research, historical studies, and surveys.

      • Coordinate Fixture, Furniture, and Equipment (FF&E) installation and move in schedules with clients in county-owned or leased facilities.

      • Assist with furniture quote review, order placement, and invoice reviews.

      • Coordinate furniture installation and relocation of equipment, work stations, and staff.

      • Develop and update existing furniture quantities and locations.

      • Perform field measurements and site verifications.

      • Perform touring sites with vendors.

      • Document existing furniture quantities and locations.

      • Create presentation materials for surplus and donation efforts.

      • Document furniture and equipment donation, including sustainability efforts.

      • Create graphic elements for reports and presentations, and write narrative materials for client meetings.

      To Qualify

      Minimum Qualifications/Transferable Skills*

      • An associate's degree and up to one (1) year of experience that demonstrates the ability to perform the duties of the position. Equivalency 2-3 years of qualifying training and/or experience. (Additional experience will be considered as a substitute for education.)

      • This position requires a valid driver license.

      Preferred Qualifications:

      • Experience with project management

      • Experience with software programs Bluebeam, Smartsheet and Google Suite

      • Ability to read floor plans, especially related to furniture for placement and verification of billings.

      • Demonstrated strong communication skills

      Teleworking: At this time, this position is designated for “Hybrid Telework,” meaning you will be working onsite a minimum 40% of the time, and remotely (from home) at other times. The designation of Hybrid Telework may be subject to change at a future time. Currently, all employees must reside in Oregon or Washington; the county cannot support ongoing telework from other locations.

      ADDITIONAL INFORMATION:

      This recruitment may be used to fill full-time, part-time, temporary, limited duration and on-call positions.

      Type of Position: This hourly union-represented position is eligible for overtime.

      Schedule: Monday - Friday 8:00am - 4:30pm. There is some flexibility with the start and end times and a possibility of a 9/80 or 4/10 schedule.
