Job Description
- Req#: 24674
- Intake, assessment and prioritization of Film applications and public inquiries;
- Support the logistics, planning and execution of Film Permits and communicate in a timely manner to all pertinent parties;
- Research, review/prepare documents such as correspondence, reports, presentations, agendas, minutes, manuals, SOPs, spreadsheets and maps;
- Use, maintain, monitor and create financial documents as well as process payments; ensuring corporate cash handling policies and procedures are followed along with appropriate financial and statistical records (Weekly Revenue, Official Receipts, Journal Entries etc);
- Streamlining and maintenance of processes designed to be efficient and reliable for both the Film & Television office and film industry clients using LEAN principals;
- Disseminate/maintain directories, websites, files and contact lists - in compliance with records retention by-laws, including use of OMNIRIM, SharePoint and general electronic and physical filing;
- Additional work plan projects to support the unit as per the goals and initiatives of the Creative Industry Strategy and Recreation & Culture Master Plan;
- Enter payroll data into SAP for Creative Industries Unit;
- Understanding and compliance with all relevant policies and Bylaws both internally and public;
- Provide back-up support for the Coordinator, Film & Television Office
- Perform other related duties as assigned.
- Graduation from a post-secondary program in administration/business support or related program
- 3-5 years progressive administrative/business support or equivalent combination of education and experience
- Excellent analytical, organizational, oral and written communication skills
- Strong ability to multi-task, prioritize to meet deadlines in a fast paced environment, and deal effectively with all levels of staff and the public
- Advanced experience MS Office Suite (including Word, Excel, Powerpoint), MS Outlook, and SharePoint
- Experience with SAP financial reports, Concur Invoice and SAP Time and Labour
- Prolonged exposure to computer keyboards and screens; primarily office environment (hybrid)
- Valid class G driver’s license
- May require light lifting of supplies/materials
- May require the occasional evening or weekend shift
- Knowledge of ActiveNet Recreation Management Software, iMaps Software, and OMNIRIM filing is an asset

Reporting to the Manager Creative Industries, the Film Office and Permit Administrator will have the vision, energy, analytical and communication skills to successfully support the growing Film & Television sector in Mississauga. The successful candidate will use advanced computer skills and strong organization abilities to aid the efficient day-to-day operations and goals of the Creative Industries team, within the Mississauga Film & Television Office, to provide timely and accurate administrative and clerical support.
