      Overview

      The Finance Assistant is responsible for providing day–to–day financial, administrative, and logistical support for the programs managed by Jhpiego’s Country Office in Zambia. S/he will support the Finance Manager in meeting the day-to-day financial needs of the projects to maintain daily operations efficiently and effectively. S/he supports financial arrangements and local support for project activities, facilitates local procurement processes and procedures, maintains proper files and filing systems, and helps assure good communication and coordination with partners. S/he will also provide support to technical staff and consultants in the preparation of budgets, reports, and other project documents.

      Responsibilities

      • Receives and reviews Account documents and calculates of all expense reports and issues reminders to ensure retirements are made according to the Jhpiego policies
      • Responsible for collecting and ensuring that utility bills for the provincial offices are collected on time and submitted to finance for payments.
      • Responsible for ensuring that the offices are well cleaned and maintained, and security is provided by a security vendor to ensure that we get the full value of money for the service company engaged for cleaning and security.
      • Ensure that the provincial gen- -set is always fuelled to the fullest at all times to limit distraction in the office operation should there be a power outage
      • Through the supervision of the Provincial Lead as the Finance Assistant, you will be required to develop a provincial office tracker for the respective office leases for tracking the expiry and renewal periods for all leases.
      • Communication with the Landlord on all repairs and Lease renewals.

      Procurement:

      • Support the head office procurement team in collecting invoices and quotes from the respective service providers in the province.
      • Assist in vendor identification for services in the province.
      • Monitor stationery utilization and re-order levels by developing requests for stationery
      • Verification of invoices before remittance to Lusaka for payment

      Asset Management:

      • Maintaining inventory for all project assets and monitoring the fuel account for replenishment to avoid project activity disruption
      • All assets are tagged with the Jhpiego official tag.
      • Quarterly reports of assets are produced and shared with the Director of Finance and Administration

      Required Qualifications

      • Accounting training qualification (part qualified NATECH/ZICA or Diploma in the relevant field
      • 3 years of experience in project programs funded by USAID
      • Experience in accounting for projects funded by international donors (knowledge of USAID regulations preferred);
      • Strong computer skills including Excel, Word, PowerPoint, and Word-Perfect applications (familiarity with QuickBooks preferred)
      • Demonstrated integrity and work ethic; able to handle a variety of assignments, sometimes under pressure of deadlines.
      • Willing to work on a wide range of tasks.
