      Under general supervision from the Purchasing Manager, the Fixed Asset Warehouse Supervisor maintains asset inventory control and oversees the warehouse and mailroom staff within the Finance Department. Identifies, tracks and disposes of assets following established procedures. Maintains an up-to-date database of asset inventory and coordinates property management functions through accountability, excess and surplus property disposal, moving, and storage. Ensures the prompt receiving and delivery of goods to the Departments. Ensures prompt mailing/shipping of customer items. Sorts and delivers promptly incoming and outgoing mail. Also ensures print services per customer requests. Must display self-initiative and pro-activeness in all aspects of this job. This job class is treated as FLSA Exempt.

      Tasks :

      1. Supervise Staff: Supervises and manages the day-to-day operations of the Warehouse and Mailroom.
      • Develops and maintains operating procedures for all warehouse and mailroom functions.
      • Coordinates the purchase of supplies, equipment, and maintenance for the warehouse and mailroom using acceptable SRPMIC purchasing methods.
      • Ensures materials, supplies, tools, and equipment (including proactive maintenance) are ordered, received, inspected, identified, stored, and issued in accordance with established policies and procedures.
      • Manages and maintains the computerized warehouse inventory system for the department.
      • Lays out warehouse storage areas and determines item classification system.
      • Ensures warehouse and mailroom staff are properly trained in the proper use and operation of warehouse and mailroom related equipment and safety practices.
      • Conducts timely performance appraisals and mentors’ subordinates on ways to improve their performance.
      • Assists warehouse with delivery of outgoing inventory to various departments as needed.
      • Determines and establishes work priorities for all phases of warehouse and mailroom operations.
      • Identifies and prepares capital improvement and long-range planning requirements to support future warehouse and mailroom needs.
      2. Asset Identification: Identifies new assets through receiving or review process. Tags and records assets in the system.
      • Stages and segregates furniture, supplies, and equipment before issuance and department delivery.
      • Notifies departments when property is received and then delivered by the Purchasing Division.
      • Ensures accountable property is properly marked prior to distribution or storage.
      • Tags existing equipment located within SRPMIC.
      3. Asset Management
      • Creates and updates inventory records to record and track all assets.
      • Completes a periodic physical inventory of assets on an annual or more frequent basis as directed.
      • Reconciles the physical inventory to inventory records.
      • Ensures all assets are tagged and are assigned to specific asset owners.
      • Works with asset custodians to determine functional and non-functional assets.
      • Assists the Internal Audit Department with audits of the asset management process.
      • Reconciles inaccurate data during inventories and audits.
      • Acts as the asset inventory management subject matter expert by providing information and training as needed in the areas of inventory control, shipping and receiving, inventory records management, and surplus property management.
      • Acts as the main point of contact for asset disposal.
      • Adheres to, and enforces, all internal Asset Management policies, practices and procedures.
      4. Excess Property Storage: Maintains excess inventory storage areas in a clean and orderly fashion consistent with safety standards.
      • Ensures excess property storage and disposal activities are conducted in a safe and effective manner and ensures the security of the property to prevent loss or theft.
      5. Key Performance Indicators (KPIs): Ensures KPIs are met/exceeded in fixed assets, receiving, shipping, and mailroom.

      6. Miscellaneous: Performs other job-related duties as assigned by the Purchasing Manager, Assistant Finance Director, or Finance Director.

      Knowledge, Skills, Abilities and Other Characteristics :

      • Knowledge of the history, culture, laws, customs, and traditions of SRPMIC.
      • Knowledge of a wide variety of supplies, tools, equipment, and industry related terminology.
      • Knowledge of inventory control best practices.
      • Knowledge of warehousing and mailroom procedures including the receipt of goods.
      • Knowledge of appropriate safety practices and corrective actions.
      • Knowledge of principles and practices of personnel supervision, training, and performance evaluation.

      • Skill establishing and maintaining effective working relationships with coworkers, management, and outside vendors.
      • Skill understanding and applying basic math computations for inventory asset records and order requests.
      • Ability to supervise and train assigned staff.
      • Skill establishing and maintaining an accurate recordkeeping system.
      • Skill maintaining a clean and safe working environment.
      • Skill using a computer and related software, including Excel, Access, SharePoint, Outlook, and PeopleSoft.

      • Ability to use equipment and tools including, but not limited to, screwdriver, hammer, scale, drill, forklift, hand truck, pallet jack, vehicle, and copier.
      • Ability to work in a warehouse environment where safety concerns and precautions are required.
      • Ability to work in varied climate conditions including cold and extreme heat.
      • Ability to sit or stand for extended periods of time.
      • Ability to work under deadlines.
      • Ability to communicate effectively verbally and in writing.
      • Ability to transfer information from hard-copy documents into a computer database.
      • Ability to lift and carry 50 lbs.

      Education and Experience:

      • A bachelor’s degree or higher in logistics, supply chain, purchasing or closely related field with a focus in asset inventory control, warehouse management, and mailroom/print services.
      • Five (5) years of experience managing a warehouse or mailroom.
      • Three (3) years of experience in asset management preferred.
      • Demonstrated excellent experience with Access, Excel, and PeopleSoft preferred.
      • Strong and proven experience with fixed asset control and loss prevention programs preferred.

      Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.

      • May be required to work beyond normal work hours including nights, weekends and holidays.
