      Description

      PRIMARY PURPOSE: Provide customer care to visitors and administrative support to personnel in the Turner Building. This position manages the reception & kitchen areas, processes employee mail, and orders office supplies among other assigned duties to support residential programs and employees.

      ESSENTIAL DUTIES AND PRIMARY RESPONSIBILITIES:

      A. Provide receptionist duties while multitasking and maintaining HIPAA confidentiality; to include greeting visitors and direct them to the proper personnel, answering phones and emails. Ensure that all visitors have proper code and sign in on visitor’s log.

      B. Consistently provide excellent customer service to all parties that enter building or call. Maintain a clean and friendly reception area and courteous approach to visitors.

      C. Assist in maintaining kitchen area with stocked supplies and ordering as needed to maintain kitchen area. Load/Unload dishwasher daily. Keep copier area, mailbox area and hallway clean and free of clutter.

      D. Perform administrative tasks for therapist and administration staff to include ordering supplies and creating/updating forms and signage for all departments.

      E. Separate and distribute mail to applicable boxes. Assist with sending mail/packages via specialized mailing-FedEx/UPS. Sign for and receive priority packages and mail. Send email notification to recipients upon arrival of packages

      F. Act as a liaison between particular volunteer groups for patients’ birthday gifts/cakes and donations in the residential program.

      G. Manage Hillside operational accounts (printers, copiers, mobile devices).

      H. Manage scheduling monthly conference room meetings for all departments

      I. Provide support for DBT trainers by ordering supplies, printing new DBT manuals, creating forms from rough drafts, scheduling meeting space etc.

      J. Maintain an updated notebook of daily census, face sheets and approved contact list for each child on the census daily for the Residential, Day and Virtual IOP Programs.

      K. Completing the necessary paperwork for emergency drills and submitting to the Director of Quality Improvement.

      L. Open/close the office daily (radio, noise machine, lights and calendar)

      M. Monitor office environmental needs and inform the appropriate personnel.

      N. Assist with communication via hand held radio during crisis. Field parent issues/concerns to the appropriate persons during emergencies. Assist emergency personnel arriving to campus as needed.

      O. Assist CFO with Pharmacy Bill Funding review to ensure the correct insurance companies are billed for each client.

      P. Open, scan and upload insurance authorization and denial letters via fax, email and mail into perspective client’s folder in the SHARED drive to assist the Admission and UR Departments

      Q. Assist Facilities Manager with managing gate codes and reporting any concerns with operation of the Turner and Monroe gate entryways.

      Qualifications


      EDUCATION: High School diploma or equivalent, prefer Associate Degree.

      EXPERIENCE: One to two years administrative experience in a fast-paced environment similar to Hillside. Must have excellent computer skills.

      PHYSICAL REQUIREMENTS: Must submit to an annual physical exam.

      MISCELLANEOUS REQUIREMENTS:

      A. Must not have a record of felony or misdemeanor conviction.

      B. Must possess excellent telephone and customer service skills.

      C. Must be very courteous and tactful.

      WORK SCHEDULE: Monday-Friday, Other Hours/Days as business dictates
