      RESPONSIBILITIES:

      • Greet, assist, and direct all PHMC clients and guests between the hours of 8:30am-5pm.
      • Answer and route incoming calls using a multi-line phone system; provide accurate information or redirect inquires appropriately.
      • Maintain Awareness of PHMC ‘s programs, services and affiliate organizations to effectively address public and internal inquiries.
      • Take detailed, timely messages and ensure follow up as needed.
      • Maintain a clean, organized and welcoming reception area at all times.
      • Manage voicemail system: check messages daily and forward to appropriate departments promptly.
      • Assist with maintaining employee and department directories.
      • Prepare monthly Program Contacts Information Spreadsheet for the Facilities Team.
      • Prepare Managing Director’s expense reports.
      • Process departmental invoices, ensuring timely coding and submission.
      • Monitor and order department office supplies.
      • Assist with conference center room scheduling and coordination at both 1500 Market and 4601 Market, ensuring proper use and setup.
      • Communicate with mail room teams at both sites to relay changes in conference room configurations and ensure timely support.
      • Provide clerical/administrative support.
      • Assist with additional projects as needed.

      • Strong ability to work in a fast-paced environment and maintain grace while under pressure.
      • Punctuality and reliability are musts.

      Experience:

      1 year administrative experience required, experience working in a human services organization preferred, experience working in a fast-paced environment preferred, as well as experience operating multi-line phone system.

      Education Requirement:

      Associate Degree preferred, Bachelor’s Degree a plus, minimum of a high school diploma required.

      Salary:

      Salary is commensurate with experience.
